Project Management Concept Definition Design Preparation Execution Evaluation Project proposal Project plan Preliminary design Detailed design Project results Initiation Execution What, why & when Why Project plan Top down Consult everyone involved To work systematically, a project plan is essential. Plan the work work the plan Human beings automatically want to start the project before creating a plan. But with a plan the change of a successful is are bigger than without a plan Set out the main lines of the project first. Avoid getting bogged down in details. Main lines Deviding a project into phases is one way of keeping it manageable Phases When Non-profit Profit During your study What is Organisations that have the goal to make money. What is Organisations that have another goal than to make money Example Creating of a new telecom service Creation of a new course at The Hague University Example Creation of a language school for expats The PM Process Concept, definition & design Info graphics Why projects fail Preparation and Execution Evaluation Evaluation report Types of activities Principles of a project What A project can be defined as a group of people, usually from various fields of expertise, collaborating temporarily with the aim of reaching a predetermined goal within a predetermined budget Improvised activities The reaction will be Ad Hoc Improvised work can be stressful People usually improvise when something occurs that is unforeseen and requires an immediate response Activities that are repeated frequently and are relative predictable Routine activities In order to be able to perform these routine activities efficiently, work procedures or instructions have to be developed. Production line activities
Sales procedures
Administrative activities Setting up a telecom organisation Organising a festival Setting up a project for Focus on Europe Developping a new car Building a new shopping center Doing a group assignment for your study Example Example Project based activities Examples How to run a company in a global financial crisis if you've never done that before ! Main Phases Preparation
Execution
Evaluation Disadvantages Advantages Increasing importance Fast development Complex world Lot of specialisations, so people have to work together in groups Less routine, more and more projects Globalisation End product Team members Setting up and organizing a project costs time Time A lot of people don't understand this approach. It contains a long-term strategy and that doesn't fit to the way our economy works these days Stupid people Phasing What Why A Phase can be regarded as a series of project activities that have a logical connection to each other Examples 2 reasons Decision making Overview Because you chop the entire process into different pieces, you know what piece you are busy with and where you are in the entire process of the project Executing a large project in phases has the advantage that a number of opportunities for decision making are built into the project. What At this phase the project exists only as a problem to solve or an idea in the minds of those who have thought it up. They (the project initiators) believe that something needs to be undertaken. Project proposal Result Project Plan What During the design phase, the final product will be designed Preliminary design The output of this phase shows in more detail what you will be the final product What During the preparation phase, the plan of how to create the final product will be created. this main phase starts with an idea and ends with a detailed product design and a planning about how to make it What Plan the work
Work the plan What Evaluation is an analysis of the entire process of your project and the results.
You define what went right and what can be done better next time Output = Evaluation report Overview of the results of your analysis That is why projects are divided into different phases.

In that way you create ‘stepping stones’. Smaller steps.... Often the distance from point A to point B is much too large to ‘jump’ in one time! Too big steps...... During the execution phase, the objectives are achieved and the product constructed Evaluation is an analysis of the entire process of your project and the results.
You define what went right and what can be done better next time During the execution phase, the objectives are achieved and the product constructed Competences Subcompetences Teams Organisational structures Roles Competences What The structure of an organisation is the specification of:

He wants the end result. The sponsor must create the criteria for the end product
He must take decisions, like approving the project plan This can be difficult, the sponsor/ client usually needs help to define what he wants The user of the final product that is created in the project If the creaters of the product manage to see the world from the point of view of their end users... the change of being liked is bigger Use the product

Write down your ideas and add them to your mindmap when you are back home Paper + colour pen Write down central word and write down associations around it After a while it's a chaos on your paper Take a new piece of paper and make a new mindmap by restructuring the old one Add new ideas 1 2 3 4 5 After every 3 4 5 circle, the mindmap will have more overview and your mindmap becomes a clear reflection of your ideas in your head. The mindmap helped you to structure your associations Conclusion Newton The brain Radiation Hemisphere Left Right Conclusion Linearity Radiation Conclusion The left hemisphere deals with the analytical and rational The right hemisphere is more responsible for a spatial and a more creative way of thinking. If you activate both hemispheres, you can use more braincapacity IT'S the Great Right Brain vs Left Brain Test ... do you see the dancer turning clockwise or anti-clockwise? If clockwise, then you use more of the right side of the brain and vice versa. Most of us would see the dancer turning anti-clockwise though you can try to focus and change the direction; see if you can do it. LEFT BRAIN FUNCTIONS uses logic detail oriented facts rule words and language present and past math and science can comprehend knowing acknowledges order/pattern perception knows object name reality based forms strategies practical safe RIGHT BRAIN FUNCTIONS uses feeling "big picture" oriented imagination rules symbols and images present and future philosophy & religion can "get it" i.e. meaning believes appreciates spatial perception knows object function fantasy based presents possibilities impetuous risk taking test Thinking in lists and lines A book and powerpoint is a lineair way of explaining something From a center, relations go to all directions "Your brain does not think in a linear, monotonous way, rather it thinks in multiple directions simultaneously — starting from central trigger points in images or key words Structure Einstein Association IQ People with high IQ make more complex associations Overview SMART Important aspects of a project proposal are:
Name of the project
Introduction (the idea) and background to the project
Information on the person who has written the project proposal
Future sponsors
Feasabilities and expected bottlenecks Project proposal
Go/ no go decision Project Plan S M A R T Result Preliminary design
Go/ Alter previous phase results/ no go decision To alter previous phase results can be very dangerous, especially in complex projects Measurable Acceptable Realistic Time bound What exactly are we going to create? Specific Example Example Example Example Example We're going to improve the delivery of our products We need to shorten de delivery time for our products or? It should be possible afterwards to determine whether the project goal has been reached or not Brain processes Our grade for the FOET project must be a 7 or higher The delivery time of our products must be reduced from five to two days A person or group must be responsible for achieving the goal Class ES4-1B is responsible for the final result of the event It must be possible to reach the goal If you want to organise an event that's too big, you need too many labour, money, time, etc. There must be a specific deadline by which the goal must be achieved The event will be at 2nd of December Important aspects of a project plan:

Who are we
Why are we carrying out the plan
What is the desired result
What are the boundaries of the project
Who is participating and how do we plan to work together
What's the expected price of the project
What could cause the project to fail Make it short and easy to understand, also for outstanders Important aspects ! Easy to understand Try to be as specific as possible Try to make a drawing of the product/ service When organising an event, show the timelines of the different parts of the event Specific Info graphic Brainstorming Remembering The process of adding information on a paper and structuring enhances creativity People use it to make abstracts

Because 0f the overview, colours, drawings and forms it's more east to remember Result Detailed design
Go/ Alter previous phase results/ no go decision To alter previous phase results can be very dangerous, especially in complex projects Result Project results
Go/ Alter previous phase results/ no go decision To alter previous phase results can be very dangerous, especially in complex projects Detailed design Project results More specific (detailed) design Planning What is Why How A schedule must be adjustable becasue some deviation from the origional scheduling may become apparent Adjustable planning Progress reporting Monitoring To be able to monitor the members have to report their progress After the schedules have been drawn up, they should be monitored during the project The changes must be made known to all participants, and the project manager will need to report them to the sponsor. 2 Monitor progress Duration 1 Organize activities 3 What has been achieved so far and how much of the budget had been used up? The project activities are either planned in reverse order with the finishing date of a project as the basis, or done on the basis of the project's starting date This is one way of determining what has to be done and the amount of time available to do so A critical activity is an activity whose duration will affect the duration of the project as a whole A dependent activity can only be carried out after completion of an other activity. A dependent task is said to be linked to its predecessor. Planning is an overview of the tasks needed to create the final product of the project. What Why How Definition Example Map Timeline Process Information graphics or infographics are graphic visual representations of information, data or knowledge.
