AtekPC PMO
AtekPC
computer manufacturing company 2007
companies former contracted in China now building their own brand of PC's
small computer manufacturers being swallowed up by larger
looking to improve efficiencies in supply chains
AtekPC Issues
Market growth slowed as other competitors with cheaper devices entered market
Great pressure on company due to smaller and smaller profit margins
Changes needed to be made to improve efficiencies
AtekPC IT
IT projects that needed to be completed quickly and effectively to support overall business
IT needed to be an enabler for Atek PC
Not just used for back office jobs like payroll and accounting
Prioritize all projects
required vs "nice-to-haves"
order timeline of projects based on needs of the company
Projects completed in an expeditious manner without wasting resources and time
PMO working with senior management and other departments can work through the priorities and project dependencies
Global view necessary so all groups can be involved
All stakeholders must understand why some projects more important than others and why some must be cut
AtekPC
Applications becoming more web based
PC's with large processors and storage not need as much with web access
Customers holding on to their PC's long than usual
Internet speed a higher priority
AtekPC
Alternative devices like smart phones, tablets and net books taking the place of PC's for internet and email acess
Cheaper and easier to carry
PC's no longer trend setting devices
AtekPC IT Response
Would be a huge paradigm shift for everyone at AtekPC
Culture at company is resistant to change
Many employees did not see problems that were coming from industry change and consumer preferences
AtekPC PMO
Purpose to provide overall management of projects
Successful project must overcome triple restraints:
resources and money
functionality
time
Some projects need to be completed sooner and some require more money and/or resources

AtekPC PMO
Prioritization
Prioritize all projects
required vs "nice-to-haves"
order timeline of projects based on needs of the company
Projects completed in an expeditious manner without wasting resources and time
PMO working with senior management and other departments can work through the priorities and project dependencies
Global view necessary so all groups can be involved
Atek PMO Cost
Vital to mission of PMO
Cost benefit analysis can help determine if project is viable
Cash flow analysis is vital to understanding when and how much cash will be needed during the project life span
Again a global view is essential
Accounting/finance
Not all projects will make cost benefit analysis and must be cut
Atek PMO Timing
Vital to mission of PMO
Large projects that involve multiple organizations in company
Optimize resources
adequate
on time
Costs of using outside resources can be avoided
peak shaving resources so 100% used
good planning
Cost of projects down
Projects on schedule
Again, global view is important so all are on same schedule
AtekPC PMO Prioritization
AtekPC PMO Challenges
Culture
fast and loose
very little project management
individuals driving specific projects using personal networking rather than global
leaves employees ignorant of go-to people in a crisis
slow and creates holes in the organization if people leave
AtekPC PMO Challenges
IT projects are small and department focused
Help desk projects done ad hoc
No formal prioritization process
Current IT employees like current culture because they become "heroes" for those in their department
Works on small scale, however no accountability to overall mission
AtekPC PMO Challenges
Ad hoc works well with small projects
Larger, multifaceted and multiple projects become an issue when teams are not working together
Resources and time are not allocated according to priority
Again, accountability is lacking
Current IT employees see PMO as bureaucratic and will slow down projects
AtekPC PMO Governance and Structure
An effective PMO will help guide projects at AtekPC
Heavy or Light PMO?
Heavy: larger number of projects take over day to day operations
Light: PMO oversees projects but leavs the existing managers to drive projects ad hoc
PMO would have to be responsible for overall prioritization and coordinating recouses between units for larger projects.
PMO would help with planning processes to ensure full resource utilization and provide more accurate time schedule to complete individual projects
AtekPC PMO: The Plan
CIO, Mr. Strider should use a light PMO.
Facilitate completion of larger, multidepartmental projects
Allows for continued freedom for smaller projects with accountability
Campaign to educate current employees' understanding of PMO
Maintain some of the present culture while shift to allow for prioritization and allocation of resources
PMO will help company, not take over
Aliging the proper people at the right tie with the right resources
