Using CenPos EBPP
Logging in
To log in, you must first access the CenPOS Virtual Terminal using the username and temporary password you were provided by your system administrator and the CenPOS merchant ID of the account you’re accessing. Once you set your permanent password, your administrator must also add you as an authorized user of EBPP. Then you can log in using the same credentials.

Administrator
The Administrator tab contains the following functions – Alert Configuration, Customer Administration, Import Customers, Merchant Configuration, Promotion Configuration, and User Administration.

Welcome

Welcome to the CenPOS Electronic Bill Presentment & Payment (EBPP) Platform. EBPP is a full-featured standalone billing platform that also supports importing of invoices from your current system with simple integrations.

To access EBPP, simply go to https://www3.cenpos.net/ebpp/ebpp.html
At the bottom right you can see our support number:

Support
Our support team may ask you to click the Support button on the login screen, which will take you to an external website. Enter your name and the support key your support representative provides and the representative will be able to remotely access your computer and help you troubleshoot any issues.

Logging in

IMPORTANT NOTE
: You will find throughout the platform that some form fields are highlighted
red
. This means these fields are required and you will not be able to submit any forms until all those requirements are
fulfilled

Alert Configuration
Alert Configuration allows you to set alerts that will appear as notifications on the bottom right hand corner. Click the “New Alert” button on the bottom right corner.
1. Enter a Name.
2. Choose a type. Types available: Unpaid Invoices, A/R Aging, Max, Min, Declined, Amount in Unpaid Invoices.
3. Choose a priority for the Alert – Low, Normal, or High. This will determine the frequency that the alerts will appear and how they are highlighted in the alert viewer.
4. Type an optional custom message for the alert.
5. Choose whether to notify the merchant by Email, SMS, or both (SMS Numbers can be set in the General Information section of Merchant Configuration.)

Customer Administration
Customer Administration allows you to enter customers into your billing database
Click Add to add a new customer. Here you can fill in all demographic information, with the name and email address being required. Click “Save”. The customer will receive an email notifying them that they have been added to the CenPOS EBPP Database
Import Customers
To import customers, you will need to create an excel spreadsheet and it must be in the .xlsx format and you must first configure the import format (see Merchant Configuration and Import Configuration)

Merchant Configuration
The merchant configuration screen allows you to change general settings, tax information, import configurations, and set up custom fields.

Under General Information you can change the invoice expiration date, indicate the URL locations where you have implemented your EBPP customer portal. Customers will receive an email with this URL when they are added to the database. You also have options to turn on/off Mail, SMS, and Fax for customer notifications.
The “Invoice Number Sequence” section will allow you to configure how EBPP manages invoice numbers.

The “
Mailing Information
” section allows you to configure SMTP settings (Recommended: Click the “Use CenPOS SMTP Configuration” checkbox for a simple setup that uses our CenPOS SMTP Servers) and customize how emails will appear to customers by editing the subject line and mail body. You can also set up to 3 notification emails for alert notifications to merchant administrators.
The “Allowed Payments” section lets you select which payment types you will accept. You can choose which card types to accept and also enable/disable checks and tokens. Partial payments will allow customers to pay part of an invoice. “Multiple payments” will allow the customer to make multiple payments on the same invoice. “Pay Multiple invoices” will allow customers to pay more than one invoice in one click. “Group Payments” will make it so that multiple invoices are paid as one lump sum transaction, rather than individually reported transactions per each invoice. If “Pay Multiple Invoices” is on but “Group Payments” is off, then each invoice will still show up as an individual transaction in CenPOS Reporting. If “Group Payments” is on, then the reporting will display one transaction with a randomly generated invoice number.
The SMS Notification allows you to set up to 3 mobile numbers for alert notifications to merchant administrators.

Tax Administration
Tax Administration will allow you to set tax categories to be used on invoices.
Import Configuration
Import Configuration allows you to configure templates for importing customers and invoices. Simply upload a spreadsheet with headers that match the available fields, and then click on each field to map it to the proper header.
Custom Fields
Custom Fields allows you to set up to 3 custom fields that will appear on each invoice for later viewing through our reporting tools.

Promotion

Configuration
Promotion configuration allows you to create discount programs for your customers based on how or when they pay their invoice.
The promotions have a hierarchy structure, with any customer who qualifies for a “parent” tier being granted the ability to qualify for any tiers below it. (For example, top tier is a 10% discount for paying within 30 days, then under that 12% for paying within 15 days, and then 15% for paying within 10 days.)
Click “New Promo” to add at the Top tier, click the green plus sign next to a Promotion to add a promotion under it.
