Basic StarRez operations
This is probably the database you will utilize the most.

In order to install the program to your computer, open the Start menu and type ‘Run’ into the search bar of programs.

Once the Run program has opened, copy the url below into the the OPEN task bar:

Entry Manager
This screen, specifically is called the entry manager. In it, you can look up students by their name or ID number. You can also sort through students by their location on campus and other criteria as shown below.
When you open StarRez, it will automatically filter by students who currently have housing or ‘Active’. If you are having trouble finding a student, try changing the filter to ‘All Records’ instead.

Details
This screen shows the basic information of a student including their age and
birthday
(shown underneath their photo) as well as their
classification
. This screen is primarily used to know the
age
of a student so that one can see if they fall within certain housing policies. This screen also shows their
student number
, should you need it.

Account Transactions
This page will show any damage or lock-out charges associated with the student’s accounts. To add a new charge, simply click ‘New Charge’ from the menu towards the top of the screen.

Bookings
This screen shows where on campus the student has been booked to live. The Status section shows the status of their booking, meaning is it ‘History’ (they used to live there), ‘In Room’ (they currently live there), ‘Reserved’ (they will live there), ‘Cancelled’ (they cancelled their reservation for that room) or ‘Tentative’ (they are reserved in that space for the upcoming year).
By looking at the Check In and Check out dates you can get a good sense of their time spent on campus. For instance, in the above example you can see this student lived in Campion in 09-10, 10-11 and in the Douglas 11-12. By looking at those dates you can see if a student moved or canceled in the middle of the year. This section is most frequently used to assess whether or not a student has fulfilled the two-year on-campus live-on requirement

The applications tab allows you to see when students have submitted applications for housing. The applications are listed chronologically and the date on which they were received is listed if applicable

Correspondence
Correspondence items are one of the things in StarRez we use most frequently. We are transitioning to students not having paper files, therefore almost everything within a student file is kept there.
The Correspondence items are sorted into a few different categories for easy access:
Email
This category contains correspondence items that we have made.
Any forms or important emails that are sent to housing are saved and then uploaded into these items. The comments section generally contains all of the pertinent information of any uploaded. We also keep track of phone calls and walk-ins in the correspondence items in case they need to be referred to for future reference

Adding Correspondence: Email
All important emails are (and should be) sent through StarRez. We will most frequently send emails requesting documentation, notifying students of decisions, or notifying them of mail to be picked up.
In order to send an email to a student you look them up with their name or ID number and make sure their name is highlighted on the main screen
Then you click the ‘email’ option under the communication tab on the left-hand side.
From there, this window will appear and you will need to select the template you would like to use from the options listed and then hit ‘next’.
Make any necessary changes to the template to reflect the student’s information (e.g. to reflect their requested meal plan on the Meal Plan Change –Approved template).

Adding Correspondence: Email
After editing the template, hit ‘next’ and you can preview the emails you send on this screen. From the preview screen you are able to print the emails, typically we only print emails regarding postage due.
And then hit ‘finish’ to send them. It will ask you if you’d like to close the email wizard and if you’d like to save the changes made to the template.
Always say ‘NO’ when asked about saving changes.

Correspondence: Creating a New Item
In order to create a new correspondence item click the arrow next to the ‘New’ button and select ‘correspondence item’ from the drop down menu.
Remember to give
descriptive titles
so other employees can easily find what they are looking for. It is also important to
initial
any correspondence you add so that other HOIDAs can follow up if need be.
You can edit the
date
of correspondence items if necessary.
To upload a file (e.g. an email or personal letter from a student) to the correspondence item, simply click
‘Browse’.


Occupancy Graph

There will be times when you don’t need to look up a specific student but want to see what is available in the various halls or see when people are moving-in or checking-out. The occupancy graph shows you who is in what building/room and when. You can sort by building and also scroll through to see dates. A student will be dark red if they are currently in a room.
