Statement of the Problem
YMCA Gym wants a software where they could easily input the details of the clients that would like to be a member of their gym, thus including the walk-in clients that would also like to see the benefits of the said establishment. Their problem is the following:
1. How to manage properly client records.
2. How to avoid data redundancy.
3. How to avoid information leakage.
Our objective is to develop and design a database management system in YMCA gym which records the client data and their time logs
Scope and Delimitation
The scope of the system is the information about the clients who are a members of the gym.
The study covers the information of what time the customers log in and what time they logout. The study also covers the registration of the information of the members and also the records of the clients can be edited or deleted.
The System does not have financial records. This is because the basic aim of the study is only the membership database for the gym that have been processed manually.
Target users/ Beneficiaries
The main target of the system is the company so that it would be easier for them to acknowledge the members and the non-members of the gym.
YMCA gym is a training and wellness center located on the Sabino Padilla Street, Sta. Cruz, Manila established by Mr. Rodrigo Perez. It strives to provide men and women with an invigorating environment for achieving one’s own personal fitness goals.
Having been in the industry for five years running, YMCA Gym offers a diversity of services including personal training, stretching and flexibility and others through the assistance of cordial staffs. YMCA gym is fully equipped with a large selection of treadmills, steppers, cross trainers, water grinders, rowers, upright and recumbent bikes. The equipment offers a fair amount of variety to meet your cross training needs par with various pin and plate loaded equipment. The free weight area comprises multiple benches, power-racks, and a wide selection of dumbbells up to 70kg, barbells and kettle bells to 40kg.
The location of the business is accessible to subdivisions, commercial structures and local government offices, generating a lot of customers mainly composed of young individuals. Since the main customer is juvenile, setting up a computerized fitness monitoring system will increase their enthusiasm and interest in looking after their shape and healthiness.
Significance of the Study
The study would like to imply the usefulness of converting the paper database of most gym establishments to a digital one. This would help the gym to easier manage and monitor the clients who entered and exits the establishment.
Operational Definition of Terms
Easy Gym (2011)
has provided online booking system to the users by providing them an opportunity to advertise and receive bookings from the users. It is involved booking and payment from clients to allow users quickly and easily make their own bookings and payments online. The purpose of the system is to make the daily operations run more easily and efficiently and increase the profit of the gym and enhanced the image of the gym room.
Gymroom system booking (2010)
are booking software specialists and provide automated online booking solutions for any type of service. An online system is accessible at any time from any place with a computer or mobile device (Kenneth E. Kendall & Julie E. Kendall, 8th edition, 2010).Easy Gym has provided online booking system to the users by providing them an opportunity to advertise and receive bookings from the users. It is involved booking and payment from customers to allow users to quickly and easily make their own bookings and payments online. The purpose of the system is to make the daily operations run more easily and efficiently and increase the profit of the gym and enhanced the image of gym room.
Firebug gym management system (2012)
is a management system help clients with managing their fitness center, gym, club, or any other membership based organization through the integration of the proper technologies that will allow them to become more efficient and enhance profitability.
Gym Master (2012)
is a system designed to make it easy to maintain detailed records of your members and their memberships, book classes and trainers, process and track sales, and communicate en mass with the right members at the right time. Designed to fit clubs of all sizes, this gym software is feature-packed.
Finnish Fitness Center (2013)
This thesis was assigned by Viveca, the University of Jyväskylä. The target of this thesis was to find out the reasons for the fitness centers simultaneously using multiple information systems and how the fitness centers manage their customers by using these information systems.

Methods of Research
The research methodology used in the study was System Development Spiral Model (SDSM). The System Development Spiral Model software development process combining elements of both design and prototyping-in-stage; in an effort to combine advantages of top-down and bottom up concepts also known as spiral life cycle model. This model of development combines the features of the prototyping model and the waterfall model. It helps to guide the risks that the project may face in the near future and what steps should be taken to overcome such risks. The Spiral model has a unique process design which helps to eliminate the risks in the future.
Our system consist of login where admin login first to access the registration
form or the records of the customers.
Data Gathering Techniques
• The researchers conduct interview at YMCA gym to know what the company would like to put on the system.
• The researchers identify themselves as researchers and explain the purpose of their observations.

This is the registration form. Where new customer register and record their personal details.

This is the log list. This the update list of the members. It shows the log date and time. And the action they done.
Summary, Conclusion and Recommendation
Summary of the Study
This Study aims to create a system for YMCA Gym for them to have easier management for their clients who enters and exits the establishment. Data gathering was made by asking the management what they want to have on their system so that the researchers would be able to create a design based on their requirements. For the software development phase the researcher decided that they will use Visual Basic for creating their system.
The researchers have finished creating a system for the company YMCA Gym that allows them to have easier management of their clients. The System also have a registration form. Where new customer register and record their personal details. It also contains a log list, it shows the log date and time and the action they done.
For the future researchers who would want to create a system for a gym, the researchers would highly recommend that they identify first what the company would like to put in the system.
