The menu bar provides an array of search and filter functionality

If a direct link to your DMS system is available then you can use the WIP/Job Import to load a job directly from the DMS, such as walk-in jobs

Even if no DMS integration is available records can still be created manually by clicking the Add iVHC button and entering the vehicle and customer details which will then add the record to the Open VHC list

A list of all open iVHC's can be printed by clicking the Print Open iVHC button

An analysis of current day service advisor performance can be printed by clicking the Print Advisor Analysis button

The iVHC Open VHC screen provides an overview of the current work status for workshops within a Dealer Group, with each vehicle listed and information readily available

Each record is colour coded to denote its current status and matches the Status filter colour (Outstanding, Accepted, In Progress, etc.) in the menu bar

Now lets look at each column individually

If the registration is red, it denotes that the record was created manually and may indicate that the job is a walk-in job

If media has been added then a video and / or camera icon will show

Any missing contact information (email, mobile number or address) will be highlighted with a red @, mobile or envelope icon

The icons will grey initially and then when sent to the customer turn blue. Once watched by the customer they will turn green. Hovering over the icon shows how many media items, and clicking it takes you to the the gallery

If a vehicle has had a recent iVHC then this can be injected into the current record, with the previously identified items set as mandatory checks.

The number in the brackets shows the value in months that the previous iVHC was carried out.

If unsold red or amber work was on the previous iVHC then a red and /or amber dot will be shown. If work was sold then a blue dot will be visible

If any user notes have been added to the iVHC record then a green notes icon will be displayed. Hovering over the icon shows how many notes, and clicking it takes you to the notes list

The blue information icon opens a popup showing further vehicle details, customer name, address and contact details, the service information where available from the DMS and a notes section for adding manual user notes

If an iVHC record has been marked as customer waiting on check in then the Wait column will show Yes otherwise No

Where DMS integration is available, job cards will be automatically populated into iVHC and, should there be more than 1 for the vehicle, such as a retail and warranty job card, they will be merged into 1 iVHC record to provide true opportunity and not affect reporting and statistics

The account code is shown so a user can easily determine the work the vehicle is booked in for, such as retail work, warranty, service plan or internal

Where a link is available to automatically populate vehicle details and ownership information the system will display how long a customer has been driving the vehicle and can be used to discuss potential sales opportunities

Where DMS integration is available the system can highlight the next MOT (UK specific), Next Service and also when the customer last visited

If a service is due in the future, then it is not highlighted with an icon

If a service is due in the current month, then it is highlighted with a blue icon

If a service is overdue by 1 month, then it is highlighted with a orange icon

If a service is overdue by 1 month or more, then it is highlighted with a red icon

Should a customer have an eDynamix Service Plan then the Service Plan column will be marked with a Yes and show how many months remain on the active plan.

Clicking the Yes link will take the user to the service plan summary screen for the vehicle

If there is no last visit information for the customer and vehicle, then the last visit will be marked in green as a first visit

A tracking system using various status icons is used to track the progress of each record through being accepted by the service advisor (S), to being with the technician to carry out the health check (T). Then to parts (P) to add the relevant parts to the identified concerns, then workshop control to add the labour (L) and finally to authorisation (A) by the customer

The date due out is populated either from the DMS where integration is available, or manually when the iVHC record is created. If red, the date due out is now past

Each outstanding record shows the status icons as orange and the authorisation icon as grey as there are no concerns to authorise

As soon as the record is accepted (checked in) or started in another area then the relevant status icon changes to blue and the clocked started

Hovering over any of the icons shows when the record entered and exited that area

When a record is completed in an area, then the relevant status icon changes to green

Where parts are not in stock for any authorised concern, the P status icon will be purple until the parts are marked as arrived / in stock

The total value of any declined red works concerns will be shown in red

If DMS integration is available and any parts are not in stock, and these have also been added to the job card in the DMS, then the P status icon will be shown as half green, half purple until the parts are marked as arrived / in stock in the DMS

The total value of any declined amber works concerns will be shown in orange

Once the record has been completed in all areas and the Service Advisor presses the Complete button on the iVHC record, all status icons will show as green

The total value of any authorised concerns will be shown in blue

The iVHC record can also be moved manually into certain, dealer specific areas, such as waiting for parts, waiting on customer, etc. by clicking the Update Area link, selecting the required area and pressing update which is then reflected in screen

Each record is grouped by vehicle registration, and includes the make and model

Search for specific vehicles, job numbers and customers and filter by allocated technicians, parts personnel and type of work (Retail, Internal and Warranty)

Press the Search button to filter results and the Reset button to remove the applied filter

Status filters to show only iVHC's that have not arrived yet, those that are in progress, awaiting authorisation or complete can be applied by clicking the relevant status box
