Shout out to everyone that volunteered to be a spot recruiter for the spring semester! All January and February events were able to be covered so far.
1. Enter event information in the Fair & Event Tracker with all information
2. Decide which events will need coverage with your lead and indicate that on the Fair & Event Tracker
3. Complete Spot Request form attached to cell 1B (CAMP Initials) to provide more information about university, departmental preference, etc
4. Wait for Dominique to reach out with spot recruiter information
1. Spot Requests for January & February Travel were due December 5th
(please continue sending them in as you receive info from partners)
2. All spot assignments should be confirmed and reviewed by leads by Friday, December 16th
3. Any flights for January travel should be booked ASAP
4. Flights for February travel should be booked no later than January 2nd
1. Schedule a meeting with your assigned spot recruiter(s)
2. Forward all pre-existing correspondeence that relates to the visit. You are responsible for coordinating visits/fairs, scheduling and relaying all information
3. Inform SAO of the spot recruiter's visit and make introductions to them and any GAs
4. Submit fair registrations with their name, if applicable
1. Meet with your CAMP team member and review details of visit
2. Make travel arrangements
3. Enter leads ASAP after visit
4. Submit engagement report no later than one week after visit
5. Return resources to office, if applicable
6. Submit expense report for expenses within and without TripActions
1. Spot Requests due by Friday, January 20th (please submit info as you receive it from your partners)
2. Spot assignments confirmed by Friday, January 27th
3. Flights booked for March travel by Friday, February 3rd
1. What if a partner said they're having an event in January/February but haven't given me a date yet?
As soon as you receive the event details, put it on the event tracker, fill out the spot request form if you'll need a spot and inform Dominique that you've completed the form
2. What if I already know of events in March and April that I'll need a spot for?
Please put them on the event tracker and complete the spot request form!
3. What if I find my own spot recruiter?
If it's an RD, please get the travel approved by their lead. Please list their initials under "CAMP initials" in the fair and event tracker.
Please don't go asking other departments for spot recruiters. I've done that work already and have a list of approved spot recruiters. This is to make their lives and your lives easier :)
All things TripActions... not a complete list! This is an open discussion, so please chime in with things that y'all have learned.
1. Create an account, if you haven't already
2. Search for flights, hotels, rental cars, etc for the dates that you plan to travel
3. Book accordingly
1. In order to receive rental car points through TripActions, you must use your p-card, not the corporate card attached to your account
(be sure to check your account through the rental car website to ensure your points are there)
2. Check the price differences between booking direct and booking through TripActions
3. The $25 non-refundable fee on TripActions is only applied once for each new trip you create
Pros:
1. Ability to book all travel for given time period/event in one place
2. Lists hotels, flights, etc for a given trip in chronological order
3. Reduced hotel prices
4. Keeps all trips in one place for easy access
5. Saved p-card/corporate card for easy bookings
Cons:
1. $25 non-refundable fee
2. Points earned may get lost/harder to earn because booking through third-party
