How to run a project SUSTAINABLY?

We should follow 10 Beautiful Steps:

1-Set project’s objectives

2-Define a Work Breakdown Structure

3-Make a plan (activities against a timeline)

4-Define team structure for project execution

5-Define synergies needed

6-Make the project’s budget

7-Analyze where you can increase revenues and/or reduce costs

8-Modify and review plan and budget

9-Make a risk management plan

10-Track and execute the project

Objective Setting

Objective Setting

  • If it is a new project, start by setting its objectives
  • If it’s a project that has been done before, start by reviewing its objectives (you can also review previous results to emphasize or modify the objectives)

Define a Work Breakdown Structure

  • This means breaking down the whole project into easily manageable packages or components that reflect the work that needs to be done.
  • Each main package can be divided into simpler components.

Make a plan

  • It is time to go more into detail and identify the activities of each work package or sub-package.

  • Then, put them against a timeline, meaning establish duration, a start and end date for each of them.

Define team structure for project's execution

  • It is necessary to set the roles and number of people you need in order to have all deliverables in time.
  • To know the recruitment and training needs, as well as the reporting and tracking structure and responsibilities.

Define synergies needed

  • Identify what you need from which areas.

The project’s budget

  • The budget is a numerical representation of the plan. Make an excel table where you have:
  • Revenue sources
  • Expenses

  • Create three scenarios: pessimistic, realistic and optimistic.

Analyze where you can increase revenues and/or reduce costs

  • Reduce costs for materials by checking new suppliers, etc.
  • Review the product portfolio to have additional sources of revenue (in-kind sponsorships).

Modify and review plan and budget

Make a risk management plan

  • Anticipate problems and know beforehand what can happen and understand what actions must be taken to prevent and mitigate risks.
  • Standards risks (affects reputational and future operations)
  • Legal risks
  • Financial risks

Track and execute the project

  • Put the plan into action and TRACK it!!!
