The team should a clear undestanding of who the stakeholders evebt are and what their expactations are in order to hold a successfuk event.
These stakeholders include: audience, sponsors, performers, event manager, marketers, promoters, local communities and authorities.
The event will need to be positioned towards a particular market and therefore the market needs to be understood according to their interest and needs
The right people should be attending and not just visitors to fill empty seats or stands.
When the correct stakeholders are involved, the event will be memorable and vositors will leave satisfied.
There should be a plan in place that identifirs the possible stakeholders that will be involved in the event.
There are two groups of stakeholders namely the primary and secondary categories.
The stakeholders that have a direct impact on the event or interest in the event are categorised as the Primary group.
The stakeholders that are excluded will not dertemine the failure or sucess or the event as a whole and are indirectly involved in the event are classified as the Secondary stakeholders of an event. (Tassiopoulos 2010:150)
In order to avoid wastage the event closure should be planned and executed in the correct manner.
A winding down process is suggested for an event that has been held regulary.
This process will have to be handled in a well organised way as with the actual event.
For a new event to begin in the same place, the current event will still have to go through a shoutdown phase.
Some communities depend on an event for emplyment, sothe organisers may choose to shut down in phases and over a period of time.
Termination strategies will need to be in place for the project manager to ensure that akk the duties were completed before the contractor or employee is dismissed.
Before the event is scheduled to close, the project manager compiles a history of the project that will stand as a record for future events.
This history report will entail the strenghts and weakness encountered during the event so that mistakes can be avoided in the future.
