NETWORK SECURITY

All Coleg Cambria staff and students are issued with a unique username and password for accessing the IT network systems, i.e. Coleg Cambria IT Network, Gmail, EBS and Moodle.

All College network users have a responsibility to safeguard their passwords and never share them with others or log anyone else on as themselves.

Forgotten passwords can be safely reset by contacting the IT Services team.

SOFTWARE CODE OF PRACTICE:

Coleg Cambria does not condone the use of any unlicensed software and any employee found to be using personally owned software on College devices, or in possession of, unlicensed software whilst on site will be the subject of disciplinary procedures.

All software media/licence purchases must be requested via the IT Services team and authorised based on requirement and budget.

Requests for additional software must be made in the first instance via a relevant Manager by email to the IT Services team with details briefly outlining how the product will be utilised, product name, number of installs required and location.

Coleg Cambria software must only be installed, uninstalled or disposed of by the IT Technical Support staff. Under no circumstances is College software to be installed or uninstalled by any other individual/s. This is to ensure that all installs are recorded and licence terms are legally complied with.

Coleg Cambria has to abide by UK legislation governing IT in the workplace.

Coleg Cambria is licensed by Campus Agreement to use Microsoft Office programs on site. This agreement also allows the highly subsidised sale of licenses to staff to allow them to use the same product to work at home or on their personal device.

DEFINITIONS:

“Personal Data” Data relating to a living individual who can be identified from specific information (ie name, address, telephone number, id number). Also includes expression of opinion about the individual, and of the intentions of the data controller in respect of that individual.

“Sensitive Data” Relates to racial or ethnic origin, political opinions, religious beliefs, trade union membership, health, sex life, criminal convictions. Sensitive information is subject to much stricter conditions of processing.

“Data Controller” An individual employed by the College who is authorised to handle personal and/or sensitive data (e.g. HR staff, College Nurse, Student Services operatives, Lecturers, CIS operatives). Staff must never attempt to access, copy, modify or share information unless specifically intended for their use.

The College does not endorse transport of College related Personal or Sensitive data on personally owned devices. It must only be transported on College owned portable devices when the information has been either password protected or encrypted.
