DEFINITION OF TERMS

RECOMMENDATION

CONCLUSION

Although the guidance office and officer are already successful in giving counsel in students and in keeping the secrets of the students, the office should undergo some improvements, like using a system/program. Improving security of their software, documents and information of the students is the most important factor that the office should consider.

SCOPE AND DELIMITATION

The developers concluded that the proposed system is manageable and easier to use than the manual process. It is well-organized and secured program that would help the counselor. The studies have concluded that the proposed system is better than the manual process.

Database - A structured set of data.

Data - A collection of numbers and characters.

Admin - A person who has specific controls on a forum.

SIGNIFICANCE OF THE STUDY

POSSIBLE BENEFICIARIES

Guidance Counselors – The guidance counselor in strategic management of student’s behaviours by understanding the needs of the students and benefits of quality education.

Students – This system would provide recommendations on how to evaluate the performance of a certain students in accordance to ECST Guidance Management System.

Future Researchers – The researchers would gain more knowledge. It would serve as a guide in their future study.

The study aims to develop a Student Guidance Management System for the EASTWOODS College of Science and Technology to guide the students through the counselors that can help them make intelligent, career choices and wise decisions by the counselor to operate the system and to provide students with educational and occupational information.

It’s Main Module Includes: Drop out Students/Form and Student Information. It’s Features: Update the Student Records, Viewing of Student Information, and Speed-up Processing.

DEFINITION OF TERMS

SIGNIFICANCE OF THE STUDY

OBJECTIVES OF THE STUDY

BACKGROUND OF THE STUDY

GENERAL OBJECTIVE

The main purpose of this study is to help the Guidance Counselor do the task easily, productively and neatly with a computer based system. Making college life productive, meaningful and pleasant cannot be overstated by means of the system that would use as an easy and user-friendly system.

Guidance is something that provides help or advice that tells you what to do. It is the process of controlling the course of a projectile by a built-in mechanism. It is to overcome problems and issues with one’s self or a group of people. Some people want to overcome fear or childhood issues.

ECONOMIC SIGNIFICANCE: The proposed system is economically friendly because it would not cost too much money to use.

TECHNOLOGICAL SIGNIFICANCE: The system is absolutely compatible to different operating system. It does not require new technology.

EDUCATIONAL SIGNIFICANCE: The system would be a significant endeavour in promoting good work environment in the workplace and motivations of its guidance counselors and students.

OPERATIONAL SIGNIFICANCE: The system is very usable and there are no conflicts during the testing of the system.

LEGAL SIGNIFICANCE: The system is genuine. The designs, codes and documentation was made and studied thoroughly by the researchers with the help of teamwork and concentration.

SPECIFIC OBJECTIVES

The following are the specific objectives of the proposed system:

• The system would record the problem and violations of a student in guidance office.

• The system would track the past records of students by using this program.

• The system would minimize paper works, retrieve records easily and create reports.

THE SDLC METHOD

OPERATIONAL TERMS

Add - To add new record.

Cancel - To cancel an action.

Delete - To erase the record.

Edit - To correct and adapt it.

Login - Act of logging in to a system.

Logout - Act of logging off to a system.

Information - Details for specified person/student involve.

Transaction - Act or process from one person or account to another.

Report - An official document that gives information about a subject

Settings - Direction in which something is set.

Search - To find or search something or someone.

Print - To print a report or to produce a copy of document.

Violations - The act of doing something that is not allowed by a law.

CHAPTER I

PROBLEM AND ITS BACKGROUND

With the total of ten (10) questions and ten (10) respondents, survey shows that the system is good enough with its functions, performance efficiency, usability and reliability.

Adding prompt messages and data validation, and improving designs, input keypress and improve the system function were the recommendation and feedback during the evaluation stage.

SYSTEM MAINTENANCE. The system did not have expiration date although the programmers have provided password on the system. Only the counselor (Admin) can input, save and change the stored data. It also has back up database for the security purposes in case of unexpected error.

SUMMARY, CONCLUSION AND RECOMMENDATION

CONCEPTUAL FRAMEWORK

STATEMENT OF THE PROBLEM

IPO Diagram of Existing System

INTRODUCTION

The study aims to answer the following questions.

1. How the system would record the problem and violations of a student in guidance office?

2. How the system would track the past records of students by using this program?

3. How the system would minimize a paper works?

The Guidance Office purpose is to deliver high quality service to students, potential students and staff in an accessible, user-friendly way with a single point of contact. It emphasizes providing comprehensive, student-focused service, and ensuring that each student’s experience of student administration and support is positive and effective.

SUMMARY

THE SDLC METHOD

SYSTEM PLANNING. The developers gathered important information about the system through searching on internet before the project start.

SYSTEM ANALYSIS. There are no system that been used. They are just only using a log book to input all the information or data of the student who commit the violation wherein the students would be asking by the counselor.

SYSTEM DESIGN AND CODING. The researchers developed the system and run the program using any version of Windows 7, 8 and 10. Microsoft Visual Studio.NET 2013 for the programming language and coding purposes with 17 forms and Microsoft Access 2010 for the database that has 10 tables. For making unique designs the developers used Adobe Photoshop CS5 and CS6. For documentation the developers used Microsoft Word 2010, Microsoft Excel 2010, Microsoft PowerPoint 2010, Prezi and Microsoft Visio 2007 for the flowchart and VTOC Diagram.

DEVELOPMENT TOOLS AND TECHNIQUES

CHAPTER III

DESIGN METHODOLOGY

EASTWOODS College of Science and Technology Guidance Management System is a new developed system that would compute and detect the data transactions of students automatically and accurately. The system is consists of different forms that would help the admin for recording different kinds of offense or violation. The recorded information would be stored in secure areas like databases that would ensure safety of records. Also this software would generate reports that would help admin in monitoring violation or offense done. Additionally, history of the students can be access easily in the program. This would help not only the counselor but also the students to be more aware committing violation in the school.

ECST Guidance Management System is a must have tool for it would help the counselor to save time and financial expenses like logbook, pen, ink and etc.

SYSTEM TESTING AND EVALUATION.

The Evaluation was conducted with the following criteria:

1.1. FUNCTIONALITY SUITABILITY

1.1.1. Functional Correctness

1.1.2. Functional Appropriateness

1.2. PERFORMANCE EFFICIENCY

1.2.1. Time Behavior

1.3. USABILITY

1.3.1. Appropriateness recognizability

1.3.2. Learnability

1.3.3. Operability

1.3.4. User error protection

1.4. RELIABILITY

1.4.1. Fault-Tolerance

The program runs in any version of windows 7, 8 and 10. Microsoft Visual Studio.NET 2013 for the programming language and coding purposes and Microsoft Access 2013 for the database.

The developers used Adobe Photoshop CS5 and CS6 for the unique designs for the system. Microsoft Word 2010, Microsoft Excel 2010, Microsoft Visio 2007 (Flowchart and VTOC Diagram) was used for the documentation, Microsoft PowerPoint 2010 and Prezi for the multimedia presentation during the defense.
