Airside Zone Categories & IDGateway

  • ID Centre recommend references are requested on reference proformas they have designed
  • However, owing to company policy, some companies will only provide references on their own company headed paper
  • Acceptable as long as the information provided meets ID Centre requirements:

  • Start and end dates given in DD/MM/YY format
  • Contain first and last name of the applicant
  • Full name, contact telephone number, address and job title/occupation of the referee
  • References should also be signed, dated and contain authentication i.e. compliment slip, company stamp etc.
  • All references must be completed in the same pen colour.
  • All references must have the sponsoring company name detailed and if using a third party/agency
  • Both company names must be listed.

  • We must obtain evidence of all dates for any of the following activities that have been applicable to a candidate in the past 5 year history:
  • Employment
  • Self-employment
  • Agency
  • Unemployment
  • Education
  • Personal Reference
  • Volunteering
  • Companies that are no longer trading
  • Travelling/Gaps in employment
  • Once references, CRC(s) and GSAT are completed applicant must attend a security interview in branch
  • The security interview is the ideal opportunity to review and cross reference the information that you have been supplied with for verification purposes.
  • The purpose of a security interview is to ensure that:

  • The applicant has a valid form of identification.
  • All periods over the previous 5 years can be accounted for, and references can be provided/have been provided and that they are free from any signs of tampering. Personal references in particular might be used by an applicant to mask actual activity undertaken, such as employment, and you should satisfy yourself that the provision of a personal reference is appropriate to cover the period in question.
  • The applicant has no disqualifying offences and is able to meet the requirement for a relevant criminal record check or declaration.
  • The applicant is a suitable person to be given unescorted access to the airport.

  • Both the applicant and Authorised Signatory will need to sign a declaration confirming that a security interview with the applicant has taken place. Only then can the application for a full airisde pass be made on IDGateway.

UK Criminal Record Checks (CRC):

  • Forename(s) and surname(s) must match exactly what is on the applicant’s passport, driving licence or ID card.
  • If the applicant has no surname the CRC should have a full stop as the surname.
  • Date of birth must match exactly what is on applicant’s passport, driving licence or ID card.
  • Address must either be the applicant’s current home address, the sponsoring company’s address or the referencing agency’s address.
  • The ID Security Team must see the original CRC or a scanned colour copy accompanied by a file note to confirm the original certificate has been seen and retained.
  • The ID Security Team must see the CRC (submitted with completed application) within 10 weeks of issue.
  • If the CRC contains any convictions you should check Appendix 1 of our ID Pass Standard for a list of disqualifying offences.
  • Any applicant that currently lives or previously lived in Northern Ireland within the 5 year reference should provide an Access NI CRC. Disclosure Scotland CRC is not valid for NI.

Overseas Criminal Record Checks (OCRC):

  • If the applicant has been resident in a country other than the UK for a period of more than 6 months we require an OCRC from that country.
  • The OCRC must have been issued no more than 10 weeks before the applicant left the country or issued after the applicant left the country.
  • If the applicant returns to that country after the date of issue (even if just for a holiday) we must see a new OCRC.
  • The entire OCRC must be translated into English and we must provide the name and contact details for the translator. Internet translations will not be accepted
  • The ID Security Team must see the original OCRC or a scanned colour copy accompanied by a file note to confirm the original certificate has been seen and retained.
  • All applicants for a permanent airside pass must be subject to the following checks:
  • Identity
  • Employment and / or education history (5 years)
  • Nationality and immigration status
  • Criminal Record (unspent convictions)

  • Assessing if a candidate can hold an airside pass starts with the CV
  • Does CV provide 5 year history?
  • Does CV reveal any unaccounted gap in employment?
  • Is the 5 year history all UK based?
  • If overseas employment/education activity is evident then:
  • Are references obtainable via a corporate email address?
  • Is an overseas CRC required?
  • Is the overseas CRC obtainable?

Email Referencing Criteria

  • Must contain the full email trail
  • Come from a clearly identifiable company email address and not from Yahoo, Hotmail, Gmail etc.
  • For the avoidance of doubt, email addresses must contain a clearly identifiable company reference for example john.smith@arnl.co.uk, not john.smith@yahoo.co.uk.
  • If using a shared/generic mailbox there must be email signature including name and job title of the person sending the reference.
  • We cannot accept personal references by email.
  • We cannot accept faxed references.

Responsibilities of Temporary Pass Holders & Escorts

  • Temporary pass holders:

  • May be hand searched. The same search and liquid limitations apply to temporary pass holders as full pass holders.Must carry their proof of identity.
  • May only access areas their card specifies and their escort is permitted access.
  • Must be escorted at all times.
  • Must be on official duty.

  • Escorts:

  • Must be on official duty.
  • Must ensure no improper use of temporary ID.
  • Must ensure card is worn and clearly displayed whilst in airside areas.
  • Can escort up to six people (if they are visitors) or only three (if they are working)
  • Must keep the card holder(s) in sight at all times.
  • Must notify Security or Police if person disappears or acts suspiciously.
  • Must collect and ensure the card is returned after use.
  • Applicants for an Airport ID pass giving unescorted access to the CPSRA or airside areas such as cargo and maintenance areas must hold a valid General Security Awareness Training (GSAT) certificate before a pass is issued and must continue to hold a valid GSAT certificate for the duration of their pass.
  • GSAT certificates are valid for a maximum period of 5 years providing the ID pass holder uses their ID pass at least once every 6 months.
  • New employees, not holding a valid GSAT certificate, may only attend GSAT after they have successfully completed their reference and criminal record checks.
  • Interviewers responsibility to probe CV and application form (reference pack)
  • Referencing team rely on notes you make in order to obtain references accurately and promptly
  • Interviewer ensures reference pack clearly outlines gaps in employment of 28 days or more, referee addresses & telephone numbers and any additional relevant reference details
  • Full referencing & vetting process explained to candidate
  • Identification document checked to ensure candidate can hold a HAL Airside Pass
  • Reference pack and ID is emailed to referencing team (EMA)
  • Temporary passes allow escorted short term access to airside areas
  • Temporary passes are now issued in branch usually on the same day of application
  • Applications are made on IDGateway
  • No references, criminal record checks or security training is required
  • Applicants only granted a maximum of 60 days access on temporary passes in any rolling 12 months period
