Standalone v Online Software

Sharing Documents Online

- Online software is accessible on any computer with an internet connection.

- Standalone software is only accessible on the device it is installed on.

- Online software cannot be accessed without a working internet connection.

- Standalone software is accessible without an interent connection.

When sharing documents online, special features are needed to do so safely.

These are:

  • Version Control
  • Levels of Access

Version Control

- Online software works on any type of device.

- Standalone software often only works on certain devices.

- Online software can be slow when run on a slow internet connection.

- Standalone software runs well as long as software requirements are met.

- Online software is automatically updated.

- Standalone software requires manual updating of software.

Prevents users from opening the same document and overwriting each others changes.

File locking is the most common method.

When a file is first opened it is locked to that user.

Subsequent users cannot edit the file, only read it.

When the first user closes the file it becomes unlocked.

Levels of Access

Different users are given different access levels to files and folders.

These are controlled by setting a users file permissions.

There are three levels of file permission:

  • Read Only - users can open the file to read.
  • Read/Write - users can read & edit the file.
  • Full Control - users can read, edit & delete the file.
