Defining Objectives for Engagement

Why

  • Time invested should lead to sufficient Value generated
  • Scalable
  • Engagement should be authentic, not forced or for the sake of it
  • Engagement should not disrupt the quality of SPEX prospects

Energy/Attendance/Engagement levels

Proposed Timing

Menti Comparison

The fun part!

How

Pick from and tweak any of the following activities to suit the event. Not suggesting all for every event.

BTW - any and all of these could be sponsored/cobranded

The 2 Challenges

The two challenges will be the main incentive driving engagement. All the activities coming up next can be included as criteria for winning the challenges

Quiz

Rapid Race Challenge - being explored and demo tbc. 3 month free trial. $600 a year for full service across multiple events.

Menti Quiz that is live-streamed (top choice) https://www.mentimeter.com/s/374d3c7590301e62fad4d52581b97f56/d183678dc8a0

Currently on the mid-tier price plan. Whitelabelling means we need to upgrade

Fun stuff for attendees to post on their socials (mainly insta stories)

Emoji/GIF Challenge (Insta story)

Conference Bingo (branding, colours will be tweaked)

Conference Bingo

Virtual Attendee Bingo

Remote Desk Flex!

Remote Desk Bingo

Chairperson can do this or the Informa representative at the beginning and closing

Basically run a menti mood check (poll) before and after the conference, to see what kind of a difference the event made. Use data later for comparison, neat visuals, etc

Ask Me Virtual Booth

Create an 'Ask Me' virtual kiosk in the group chat - have someone designated from Swapcard and from Informa who can immediately attend to delegates

This was done as an FAQ chat at Evolve.

If we go with the solution provider SnapBar, it is possible to find the best photo via likes

Cost: $445 for 1 day

Virtual Photo Booth

Else, we use a Social Wall and judge the #BestPhoto from there

Virtual Cocktails

Host a Virtual Cocktail/Happy Hour at the end of the conference for people to chill out post conference.

Either on GoToMeeting or BigMarker or even MS Teams?

If we go for the paid video solution with Swapcard we host it there

Attendees have to be creative - make a creative mocktail/cocktail or wear a unique hat

Virtual Networking

VN

Can be done in these formats like EVOLVE:

Communication

Comms

Ok cool but how do we communicate these engagement activities to our delegates?

3 ways:

  • Orientation day/hour
  • A Virtual conference map as part of joining kits
  • Delegate/SPEX Checklist as part of their joining kits

Channels:

Email onboarding

Push notifs

SMS (for key announcements) (to those visitors registered but not on app yet)

Each Delegate and Sponsor that is part of the event, gets an Attendee Kit sent to them via email. This kit has 2 attachments.

1. The Virtual Map

2. The Delegate/SPEX Checklist

Joining Kit

Visuals COUNT!

Create a simple Virtual Map that's basically a 'floorplan' that is attached and emailed to all attendees.

Corresponds to Swapcard TABS

Great opportunity to add in Sponsor logos so that the attendee gets to really VISUALIZE the event

Virtual Map

The Checklist

Checklists

Delegates and Sponsors get a PDF of an onboarding checklist. Saves the confusion of too many emails, simplifies the tasks so that new joiners don't feel lost.

It's over!

Post Event

What do we do now?

Feedback:

  • Have a feedback chat group to optimise in real time
  • Collect testimonials via Boast.io - add to the event tab or ask later
  • Explori survey

Speaking of feedback....
