Written Warning
The Progressive Coaching Toolbox
1. Document History at the top
2. Written warning box must be checked
3. The team member must see and sign
If they refuse to sign it, then point out to him/her that there is a place on the form to write their side of the story. If the team member still refused to sign, write “team member refuses to sign” at the bottom.
4. Most importantly, written warnings need to include the “magic language”
You’ve just observed Tom, a pantry team member, sneeze on a plate. Tom wipes the plate then proceeds to arrange a salad on the same plate. This is the first time that you’ve seen Tom do this, but previously other team members have mentioned it to you.

The discussion and documentation are the same as with a verbal warning, but the following four additional steps should be taken:
WW with schedule change and disciplinary suspension are used interchangeably
If the team member has been warned before, even in a separate issues, the top section should be completed
Written warning with a schedule change box must be checked
The team member must see the disciplinary report form, and you must ask him/her to sign where indicated. If they refuse to sign it, then point out to him/her that there is a place on the form to write their side of the story. If the team member still refused to sign, write “team member refuses to sign” at the bottom.
Most importantly, written warnings need to include the “magic language”. You must also write the dates of the two shifts they will be suspended, OR what their schedule is changing to.
Always call hr prior to suspending a team member
All disciplinary suspensions are administered without pay
The duration of the unpaid suspension will depend on the severity of the violation
Duration of suspension should be indicated
Determine if suspension is number of days or event shift
