Planning a Service Project for your Group

5. Recruiting Volunteers

3. Gathering Important Information

7. Follow-Up

1. Identifying an Agency

Search our Community Partner list on EagleSync for a nonprofit agency that you would like to volunteer alongside.

  • Once the event is created, you can share it on Facebook, Twitter, or by copying and pasting the event link onto any platform.
  • When you create the event, you choose the privacy of the event. If you choose "Portal Only," then only members of the portal can see it. "Eastern Washington," then anyone with an @ewu.edu EagleSync account can view it. If you choose "Public + Website," anyone can search and view.
  • EVERY volunteer will need to complete a liability waiver, found under "Files" on EagleSync.

Select "Service Opportunities"

  • Confirm date and time of service project.
  • Ask how many volunteers are needed.
  • Ask who will be supervising you while serving (& their contact info)
  • Ask the community partner if they have any forms they require volunteers to fill out.
  • Ask if there is a dress code and if they need you to bring supplies.
  • Ask when they need to know confirmed volunteer details.
  • Once the project is complete, you will need to turn in the sign-in sheet to the Office of Community Engagement.
  • Bring the waivers as well. We will scan them and send you back with copies to keep on file (Only one waiver will need to be completed by residents for the AY).
  • Feel free to send a Thank You card to the community partner, they also love receiving photos of groups serving.
  • If you take photos while serving, please remember that any community member photographed will need to have filled out an EWU Media Release waiver (in the same EagleSync file folder as the timesheet and waiver).

You can search for specific categories here:

Click "Files"

Click the "Reporting Community Service Hours" folder

You will need to bring those completed forms with you to the service site!

Download the "Hazards and Risks" pdf file.

This is what every volunteer will need.

2. Contacting Community Partner

4. Creating the Event in Your Portal

1. Go into your portal, and click the "Events" tab.

  • Before going to your service site, make sure all volunteers have been emailed with details (dress code, bring signed waiver, etc.)
  • Call your volunteer supervisor at least 4 days in advance with the list of volunteer names and confirm time and meeting location.
  • Bring waivers in a binder (they contain participants' emergency contact info)
  • Print out the Volunteer Sign-In Sheet for all participants to sign in upon arrival at site.
  • Once you have found a community partner that you would like to volunteer with, you can come to the Office of Community Engagement (SHW 115), and we will connect you with them.
  • If they have a community need, they will probably have volunteering opportunities.
  • If there is no immediate community need, you will start back at step 1, and find a different community partner to serve alongside.

Make sure the event is categorized as "Service"

Print off sign in sheet. Every volunteer must sign-in to receive credit for service hours!
