we're living in unprecedented times.
- 00:03 - 00:05
Never before have we had so many people trying to
- 00:06 - 00:08
get their work done from home and not being sure
- 00:08 - 00:10
how to be effective in that environment.
- 00:11 - 00:14
This video is to help leaders do all hands meetings
- 00:15 - 00:19
remotely. And our lessons are from Prezi, a community of
- 00:19 - 00:24
over 100 million visual communicators using visuals to convey their
- 00:24 - 00:28
messages. I'm gonna be talking to you about why you
- 00:28 - 00:32
need to turn your camera on how you should record
- 00:32 - 00:37
ahead and also why you need great visuals to help
- 00:37 - 00:41
people understand and retain the information that you're wanting to
- 00:41 - 00:44
commit. My name is Peter, are y I'm the CEO
- 00:44 - 00:46
and co founder of Prezi.
- 00:46 - 00:49
And I know from personal experience is that all hands
- 00:50 - 00:51
meetings are really hard to do well.
- 00:52 - 00:54
But if you manage to do them well, it can
- 00:54 - 00:56
be really empowering for your team.
- 00:56 - 00:59
And if you do them poorly while the opposite is
- 00:59 - 01:03
true as well, this video is also part of a
- 01:03 - 01:07
stay engaged Siri's we're doing at Prezi to help people
- 01:07 - 01:08
get their work done from home.
- 01:11 - 01:13
Now the all hands meetings is such a wonderful place
- 01:14 - 01:17
for the entire company to come together, and it's a
- 01:17 - 01:18
great place to celebrate.
- 01:19 - 01:22
But in times of crisis, it is the spot where
- 01:23 - 01:26
people go to get direction, and it is more important
- 01:27 - 01:30
than usual that you as a leader can stay inspiring
- 01:31 - 01:34
and also open and clear about the challenges facing your
- 01:35 - 01:38
business. And that is why the first thing I'm going
- 01:38 - 01:40
to tell you is that you need to turn your
- 01:40 - 01:47
camera. One of the most foundational parts of teams coming
- 01:47 - 01:50
together for a shared purpose is the sense of human
- 01:50 - 01:54
connection that we often build just by walking past each
- 01:54 - 01:56
other in informal ways in the office.
- 01:57 - 02:02
Now, whatever level of connection your team had before, going
- 02:02 - 02:04
into this crisis is just going to be that much
- 02:05 - 02:08
harder now to sustain it with everyone seeing each other
- 02:08 - 02:12
less unless and so when you're considering to address the
- 02:12 - 02:15
entire company, it's important that you don't just write long
- 02:16 - 02:19
emails. You actually should turn your camera on so that
- 02:19 - 02:23
people can see your face here, voice and even understand
- 02:23 - 02:27
your feelings, because that is the essential part of building
- 02:28 - 02:28
the human connection.
- 02:30 - 02:32
And by the way, this is not just about you
- 02:32 - 02:33
as the leader.
- 02:34 - 02:35
It's about all the participants.
- 02:36 - 02:40
It's about the community feel of everyone turning on their
- 02:40 - 02:43
video, being able to see their colleagues.
- 02:43 - 02:46
And we have seen this work well with hundreds and
- 02:46 - 02:50
hundreds of video feeds, people scrolling them through and looking
- 02:50 - 02:54
for their colleagues when you set up that environment so
- 02:54 - 02:55
I'd encourage you.
- 02:55 - 02:58
And if you are, team isn't more than 1000 people
- 02:59 - 03:02
that you get everyone to turn on their camera.
- 03:03 - 03:06
Also, part of the all hands meetings is the side
- 03:07 - 03:11
chat. So when you're doing it remotely, it's easy enabled
- 03:12 - 03:12
through text chats.
- 03:13 - 03:17
Most conferencing systems have that, and if they have a
- 03:17 - 03:20
feature where you can disperse people into smaller groups, that
- 03:21 - 03:23
is actually a really great way to help people digest
- 03:25 - 03:27
and reconnect around the topics you've been discussing.
- 03:28 - 03:31
These things naturally happen in the hallways after an all
- 03:31 - 03:34
hands meetings, but when you're in the remote setting, you
- 03:34 - 03:36
need to make sure to facilitate it.
- 03:38 - 03:41
Also, with these crazy times, our schedules are upside down
- 03:42 - 03:44
and a lot of people are frankly having to take
- 03:44 - 03:47
care of their Children at the same time as they
- 03:47 - 03:50
are working, so you can't count on that.
- 03:50 - 03:52
Everyone will make it for the all hands meetings.
- 03:53 - 03:54
That is why you need to be recording.
- 03:55 - 03:59
They're all hands meetings, publishing it right away after the
- 03:59 - 04:01
meeting itself, and it Prezi.
- 04:01 - 04:04
We have actually found that about 1/4 of all of
- 04:04 - 04:07
the meetings that are thought to be necessary to be
- 04:07 - 04:09
live is better done recorded.
- 04:10 - 04:13
So if you have a team win celebration instead of
- 04:13 - 04:16
just writing a message, record a video.
- 04:16 - 04:21
Keep building the human connection, but don't necessarily call everyone
- 04:22 - 04:22
for a live meeting.
- 04:24 - 04:27
Similarly, if there's something very timely in urgent, so you
- 04:27 - 04:29
have to convey something quickly.
- 04:30 - 04:32
But you don't have time to call everyone for a
- 04:32 - 04:33
live meeting.
- 04:33 - 04:37
Well, again, recording can be a very good choice for
- 04:37 - 04:42
people to understand the human factor in in the things
- 04:42 - 04:43
facing your business.
- 04:45 - 04:48
Last but not least, there is a very simple and
- 04:48 - 04:51
important reason for why newscast people add visuals to their
- 04:52 - 04:56
reports. And that's the fact that audiences understand and retain
- 04:56 - 05:00
the information that they talk about when they show strong
- 05:00 - 05:04
visuals more than the newscast person itself.
- 05:05 - 05:08
And so when you're doing your all hands meetings, it's
- 05:09 - 05:12
important that you get support of strong visuals that people
- 05:12 - 05:15
can understand and retain with Prezi video.
- 05:16 - 05:19
Now you can actually get this done from unordinary laptop
- 05:20 - 05:23
such as the one I'm using myself, and you can
- 05:23 - 05:27
record or you can augment and add visuals to any
- 05:27 - 05:29
conferencing system out there.
- 05:29 - 05:31
You can even put in your power points.
- 05:32 - 05:34
So no matter what it is that you have to
- 05:34 - 05:37
work with, we should be able to help you convey
- 05:37 - 05:38
those ideas.
- 05:39 - 05:42
And please remember that people all over the world are
- 05:43 - 05:44
trying to figure this out.
- 05:44 - 05:46
Now it's teachers, it salespeople.
- 05:47 - 05:49
Everyone is coming online.
- 05:49 - 05:51
And so we are in a learning curve.
- 05:52 - 05:54
But we can see that people can do this.
- 05:55 - 06:00
And eso um, I would encourage you, Teoh set up
- 06:01 - 06:04
the all hands meetings and start going with them.
- 06:05 - 06:07
We will also bring you more tips on how to
- 06:08 - 06:10
engage teams as a follow up to this video.
- 06:11 - 06:17
Continue checking out, stay engaged channel, and also, if you
- 06:17 - 06:20
have questions or feedback on this video or on other
- 06:21 - 06:24
situations where you think we can help you to be
- 06:24 - 06:27
more effective, we'd love to hear from you and do
- 06:27 - 06:30
our best to help you hope you stay safe and
- 06:31 - 06:34
