Welcome to part three. And the final part of our H. M. I. S. New user training.

  • 00:07 - 00:11

Now we are going to go into how to enter clients in anonymously.

  • 00:11 - 00:16

Feel no need to try and rush and write this down. This is always available in our H. M.

  • 00:16 - 00:20

    I. S. Data entry manual on the H. M. S. Documents page.

  • 00:21 - 00:25

And now there are a few situations that we just went over in part two of one,

  • 00:25 - 00:27

we need to enter a client anonymously.

  • 00:27 - 00:29

    So if they refuse consent,

  • 00:29 - 00:31

if they have a positive HIV or AIDS status

  • 00:31 - 00:34

or if they are in a domestic violence situation,

  • 00:35 - 00:37

there's two methods for minimizing a client.

  • 00:37 - 00:40

They're mostly the same beyond the date of birth.

  • 00:40 - 00:44

Now for someone who has refused consent are HIV positive.

  • 00:44 - 00:47

We're going to go first name anonymous, last name anonymous.

  • 00:47 - 00:50

And then the quality will be the client refused.

  • 00:51 - 00:53

There will be no Social Security number and

  • 00:53 - 00:56

then the SSN quality will also be client refused

  • 00:56 - 01:01

the date of birth. We're going to keep the accurate month and the accurate year.

  • 01:01 - 01:03

We are just going to change the month to the

  • 01:03 - 01:06

first and enter approximate or partial date of birth.

  • 01:07 - 01:11

When working with domestic violence. We need to edit their birthday.

  • 01:11 - 01:15

Um, a bit more due to the fact that a birthday is intimate,

  • 01:15 - 01:17

a knowledge that an abuser may know.

  • 01:17 - 01:20

So same thing anonymous anonymous claim refused.

  • 01:21 - 01:24

No Social security number than client refused for the date of birth.

  • 01:24 - 01:29

We are going to always make it january one and then edit the birth year.

  • 01:29 - 01:31

    Either 123 years. Um

  • 01:31 - 01:34

higher or lower than their actual birth year.

  • 01:34 - 01:38

With the quality as approximate or partial date of birth reported.

  • 01:39 - 01:42

Now to clarify for domestic violence clients.

  • 01:42 - 01:46

Um there's a difference between currently fleeing versus experienced.

  • 01:46 - 01:48

If a client is currently fleeing,

  • 01:48 - 01:52

they do need to be anonymous if they have um merely experienced

  • 01:52 - 01:56

domestic violence but are no longer trying to currently flee their abuser.

  • 01:56 - 02:00

They may be named in the database for that clarification.

  • 02:01 - 02:05

Now the remaining data elements are generally not considered to be identifiable.

  • 02:05 - 02:09

So you can enter the information correctly unless the client feels

  • 02:09 - 02:13

that a specific combination of their information would make them identifiable.

  • 02:13 - 02:18

There's always the option to enter client refused or client doesn't know.

  • 02:18 - 02:23

Um for elements as they come up and you

  • 02:23 - 02:25

can enter as such as the client feels appropriate.

  • 02:28 - 02:34

That is going to be the end of the video recording of the H. M. I. S. Training.

  • 02:34 - 02:39

Next we are going to do our live session session over zoom where we

  • 02:39 - 02:44

will review logging into client track as well as a few other things like

  • 02:45 - 02:49

workspaces and the bulletin board. How to enter help tickets,

  • 02:50 - 02:53

    forms assessments, workflows, enjoying enrollments,

  • 02:53 - 02:57

um any kind of case management such as services, case notes,

  • 02:57 - 03:01

updating the info exiting a clients and then as well as any

  • 03:01 - 03:06

extra elements that may be needed for your specific project if necessary.

  • 03:06 - 03:09

So I will see you all in that live session soon
