Keep In Mind!
- Members will not be able to delete their booking once payment has been confirmed.
- Payment confirmation email will be sent to the player once payment has been confirmed.
- Bookings made via the kiosk will not direct the member to the payment screen rather it will advise the member to pay at the proshop.
- Refunds must be processed by the club directly out of their payment gateway.
Payment Options
- Payment options can be configured on a per timesheet basis meaning specific days can force prepayment whilst others allow payment on arrival.
Fee Exclusions
- Navigation: Timesheet > Fees > View Daily Fees > Select Fees to Exclude.
- Navigation: Timesheet > Fees > Payment Methods.
- Fees can be excluded on an as needs basis through the timesheet (eg. remove membership category fees for special events).
Reporting
- Financial Summary Report will include all member fees on the MemberFee tab for the date range selected.
- Online member payments (authorisation #, transaction #, etc) will be included in the Online Payments Report.
Event Fees
Booking Process - Member
- Event fees are setup for specific days (eg. US Masters Breakfast + Golf).
- The standard fee setup process is followed except the fee should be setup specifically for that one day (set start and end date to the date of the event).
- Booking process will remain very similar to the current process.
- The fee associated to a booking will be displayed during the booking process.
- NOTE: All other fees should be excluded on the event timesheet.
Important Notes
- If one member is booking in 3 other members as part of the group they will be required to pay their fees on their behalf if payment is a requirement.
- If payment is required the member will be directed to the payment gateway to complete payment / booking process.
- Fees must be setup in the Member Fees section of Manage Fees.
- Hire Equipment must also be setup in the Member fees section if prepayment is required.
- Fee Packages are not supported for member fees.
- If clubs want to take prepayments they must have a payment gateway setup.
- Only 1 green fee can be displayed to a member at any one time (fee types cannot be selected during the booking process)
Fee Setup
- Navigation: Bookings > Fees > Manage Fees > Member Fees
- Fee Group -> Individual Fee -> Fee Details
- Fee Group: Overall group name (Member Fees, Events Fees)
- Individual Fee: Itemized fees within fee group (Social member, Lifestyle Member)
- Fee Details: Specific fee details (Price, days of the week, category to apply to)
Linking Fees to Membership Categories
Booking Process - Administrator
- Booking process will remain very similar to the current process.
- The fee associated to a booking will be displayed during the booking process.
- Standard fee configuration.
- Select Apply Fee to Membership Categories.
- Select membership categories the fee is to apply to from the list.
- An administrator will be able to make a booking without payment being made.
- If payment is required for the booking a red dollar sign will show next to the players name on the timesheet indicating payment is required.
Summary
- Assign fees to membership categories.
- Enforce prepayment for golf bookings based on categories and events (special events).
- Additional payment methods: Pay on Arrival, SecurePay, PayPal, Ezidebit (eCommerce) controlled on a per timesheet basis.
MiClub: Stage 4 P4P
The stage 4 P4P release focuses on the ability for clubs to take prepayment of fees from members during the booking process. These fees may be standard fees attached to certain categories of membership or one off fees for special events.
