How to define Time management ?

Time management is about managing one's time to execute behaviours required to effectively achieve goals. Thus, time management aims to maximise individual productivity. Time management skills include planning, allocating, setting goals, monitoring and organising the time an individual has to achieve tasks Behaviours include , such as work or academic duties, which are aimed at using time effectively .

There is popular belief that poor allocation of time increases stress and subsequently impairs performance . Time management research indicates that ineffective or ‘poor’ time management can affect productivity in the workplace and have detrimental consequences on an individual’s private life. A meta-analysis of time management research literature found that time management behaviours are associated with increases in job satisfaction, health, and stress reduction . However they noted that the findings in regard to work and academic performance were unclear. Where effects on performance were found, they tended to be positive; however they were often of small effect size or inconsistent significance. Time management is an also effective stress-coping strategy .

Parts of time management are art, and parts are science. Also be aware that time management is a multidimensional concept that can be dissected into many skills and behaviours

First things first:

How to define alternative training ?

The definition of alternative can be considered as something that is

different from something else, especially from what is usual,

and offering the possibility of choice.

A training can be define as the action of teaching a person or

animal a particular skill or type of behavior.

So , If we merge the two definition we can consider alternative

training as an unusual process to learn a specific skills through a non-formal training.

How to define personal development ?:

First of all, personal development is a global concept which encompass many skills and techniques like time management, conflict management, stress management, work-life balance, alternative training and so on.

The terms first appears in the beginning of the 20th century with Wallace Wattles in 1910 with his book "The Science of Getting Rich", a book based on the idea that if you think and live your life in a “certain way” by simply making subtle changes in habits and in thought process you will eventually mold yourself into a person worthy of great wealth.

Personal development is a lifelong process. It's a way for people to assess their skills and qualities, consider their aims in life and set goals in order to realize and maximize their potential.

Even if the expression appears on 20th century, the process exists since thousand of years. For instance Aristotle defined personal development as a category of practical wisdom, where the practice of virtues leads to eudaimonia, commonly translated as "happiness" but more accurately understood as "human flourishing" or "living well".

POSEC Method

The key to good time management: Urgent VS Important

  • Prioritize - Your time and define your life by goals.
  • Organize - Things you have to accomplish regularly to be successful (family and finances).
  • Streamline - Things you may not like to do, but must do (work and chores)
  • Economize - Things you should do or may even like to do, but they are not pressingly urgent (pastimes and socializing).
  • Contribute - By paying attention to the few remaining things that make a difference (social obligations).

POSEC is an acronym for Prioritize by Organizing, Streamlining, Economizing and Contributing.

The method dictates a template which emphasizes an average individual's immediate sense of emotional and monetary security.

It suggests that by attending to one's personal responsibilities first, an individual is better positioned to shoulder collective responsibilities.

  • URGENT TASKS demand your immediate attention, but whether you actually give them that attention may or may not matter
  • IMPORTANT TASKS matter, and not doing them may have serious consequences for you or others.

Domino Reaction method

This is the idea that there are actions that you invest in once and which produce over time in different channels. Writing a book is such an action, because it requires one-time effort, and once you finish it, it continues serving you.

The Eisenhower Method

Tasks are then handled as follows:

You need to pay attention to...

  • Important/Urgent quadrant are done immediately and personally e.g. crises, deadlines, problems.
  • Important/Not Urgent quadrant get an end date and are done personally e.g. relationships, planning, recreation.
  • Unimportant/Urgent quadrant are delegated e.g. interruptions, meetings, activities.
  • Unimportant/Not Urgent quadrant are dropped e.g. time wasters, pleasant activities, trivia.

The "Eisenhower Method" stems from a quote attributed to Dwight D. Eisenhower: "I have two kinds of problems, the urgent and the important. The urgent are not important, and the important are never urgent".

In this method tasks are evaluated using criteria important/unimportant and urgent/not urgent, and then placed according quadrants in an Eisenhower Matrix.

  • Settings goals
  • Prioritising
  • Avoiding procrastination
  • Breaking down tasks
  • Persevering
  • Organising the time
  • Using a time log

Procrastination

Responsibility

Time management - definition

Pareto Analysis

...is the avoidance of doing a task which needs to be accomplished.

Procrastination can lead to feelings of guilt, inadequacy, depression and self-doubt.

  • Create a simple "To do" list
  • Daily/Weekly planner
  • Long term planner

Example of time log:

Pareto Analysis

My experience about Time Management...

The 80-20 rule can also be applied to increase productivity: it is assumed that 80% of the productivity can be achieved by doing 20% of the tasks. Similarly, 80% of results can be attributed to 20% of activity. If productivity is the aim of time management, then these tasks should be prioritized higher.

  • Creating an environment conducive to effectiveness;
  • Setting of priorities;
  • Carrying out activity around those priorities;
  • The related process of reduction of time spent on non-priorities;
  • Incentives to modify behavior to ensure compliance with time-related deadlines.

Four month ago...I accept the challenge to learn English fast.

This is the idea 80% of tasks can be completed in 20% of the disposable time. The remaining 20% of tasks will take up 80% of the time.

This principle is used to sort tasks into two parts. According to this form of Pareto analysis it is recommended that tasks that fall into the first category be assigned a higher priority.

Advantages of using a "To do" list

Time management is the act or process of planning and exercising conscious control over the amount of time spent on specific activities, especially to increase effectiveness, efficiency or productivity.

It is usually a necessity in any project development as it determines the project completion time and scope.

...is when one uses reason to determine the best course of action.

"If you know the enemy and know yourself, you need not fear the result of a hundred battles".

Methods for a good time management

ABC Analysis

You are responsible for everything you do: your actions, behaviors, mood and your emotions.

You have more power than you believe to combat difficulties or bad situations.

You can chose the person who you wish to become in the future.

You just have to do the efforts for it.

An important characteristic for achieve objectives is discipline.

Sun Tzu, The art of war

  • Focuses your mind on important objectives
  • You are less likely to forget to do tasks
  • Writing a list helps order your thoughts
  • It helps show the bigger picture
  • You don't need to hold everything in your head
  • It saves time
  • It helps you decide on priorities
  • You are less likely to become sidetracked
  • You get the reward of ticking off your achievements
  • You feel more in control
  • You have a record of what you've done
  • You always have something to work on
  • ABC Analysis
  • Pareto Analysis
  • The Eisenhower Method
  • Domino Reaction Method
  • POSEC Method

It is the categorization of large data into groups: A,B and C.

Activities are ranked by these general criteria:

A) Tasks that are perceived as being urgent and important;

B) Tasks that are important but not urgent;

C) Tasks that are unimportant.

How to manage time effectively

You need to...

ABC Analysis

Time management - definition

Each group is then rank-ordered by priority. To further refine the prioritization, some individuals choose to then force-rank all "B" items as either "A" or "C". ABC analysis can incorporate more than three groups.

1. Clarify your plans and goals;

2. Make a distinction between high priority and low priority;

3. Schedule your day;

4. Leverage your time;

5. Avoid procrastination.

A time management system is a designed combination of processes, tools, techniques, and methods.

It is usually a necessity in any project development as it determines the project completion time and scope

Discipline

Responsibility

Virtuous behavior can be described as when one's values are aligned with one's aims: to do what one knows is best and to do it gladly.

You can chose the person who you wish to become in the future.

You just have to do the efforts for it.

An important characteristic for achieve objectives is discipline.
