AQUENT STUDIOS STRATEGIC DESIGN HUB
By locating the Strategic Design Hub on site & on premise to Raytheon, we achieve easy communication, effective ongoing knowledge transfer, and regular interaction with Raytheon management. Each team member will be Raytheon “cleared” with access to important communication tools needed to execute this high-level work.

This high-level creative team will focus on Level 1 and Level 2H strategic projects across channels

RESOURCE
PLAN
DIGITAL DESIGN & PRESENTATION HUBS
The dedicated Digital team will work from the Digital Design Hub at the Aquent Studio in Waltham, where the team can be readily scaled to meet changing work volumes. The Digital Design Hub will focus on all Levels 2L, 3, and 4 digital and interactive design/development, ensuring consistent messaging and visual standards across all digital channels. Some transitioned interactive team members working in other cities may work as part of the Digital team from the Tucson Studio or another Aquent location. As part of a dispersed workforce, they will report into the leadership at the Digital Hub.

The Waltham Studio will also house a Presentation Design Hub to handle the approximately 950 presentations annually. The Presentation Hub can be scaled when key events or meetings create work spikes.

RESOURCE
PLAN
PRINT DESIGN HUB
Aquent will establish a dedicated print design and production team at an Aquent Studio located in Tucson which is a lower-cost market with top quality talent.

Focused on tactical print communications – Levels 2L – 4L, our scalable Print team will specialize in efficient design of high-quality, brand-compliant print communications as well as accurate production-focused deliverables. This chart depicts the resources to be aligned to the Print Hub – although some team members may work remotely from the Hub as part of a dispersed workforce reporting into the Studio Manager at the Print Hub.

RESOURCE
PLAN
VIDEO / PHOTOGRAPHY / EVENT MANAGEMENT HUB
RESOURCE
PLAN
Initially, we will locate Video, Photography, and Event Management in the locations that Raytheon Advanced Media does today. Since a reported 95% of video shoots take place at Raytheon facilities, we’ve assumed that the current video and photography teams are located appropriately to support regional needs and avoid extensive travel costs. A deeper-dive analysis of utilization at each location will reveal any potential benefit of future consolidation to fewer locations.

REBADGING
APPROACH
Respect is most important
Approach rebadging at an individual level
Understand each individual’s (in selection pool) current situation and environment

Communicate the opportunity, Aquent culture, and process for rebadging
Deliver overview presentations at each location
Encourage resources to apply for specific roles
Prepare detailed job descriptions for each role

Schedule onsite interview days at appropriate locations
Interview candidates in selection pool for specific roles, but consider alternative roles as appropriate
Aquent will interview all individuals in the personnel applicant pool interested in transitioning

Aquent will select matches for open roles and make offers to selected resources
Resources not selected will be provided a local Aquent contact for outplacement opportunities

$91.00

- Average Hourly Rate Print Design Hub (

Pricing is provided for the following global locations: Australia, Canada, Japan, United Kingdom, Poland (via UK).

Pricing for the following countries would be provided by undetermined partner based on size and scope: India, South Korea, Kuwait, Qatar, Saudi Arabia, Taiwan, and United Arab Emirates.

Volumetric productivity percentages cannot be provided until due diligence is complete and current productivity is evaluated.
HIGHLIGHTS &
ASSUMPTIONS
**Key Raytheon personnel whose salaries significantly exceed market rates will be negotiated on a mark up basis consistent with proposed rates.

**In order to minimize risk associated with assuming percentage of Raytheon employees accepting severance packages upon conversion to Aquent, we would propose handling them as one-off scenarios and billed at severance cost plus 16% for employment tax burden.

COST
DRIVERS
Beyond staffing costs, Key Cost Drivers are:
Facilities
Technology
Equipment

We have designed the solution for operational efficiency and increased productivity to mitigate these costs:
By optimizing utilization
Harnessing enabling technology
Utilizing a dispersed workforce to contain facilities costs

Due diligence deep-dive analysis may reveal alternative approaches to drive cost down:
Improved resource alignment may generate real cost benefit (senior designer is never doing production work, etc.)

METHODOLOGY
1. KERRI/KIRK/TOM/

Walk us through the proposed work flow for these project requests:
a. Annual Leadership Forum
hosted by Raytheon Chairman and CEO, planned by Raytheon chief communications officer and her staff
i. Characteristics:
multi-month planning, multi-capability, multiple vendors, multiple reviews with senior leaders, last-minute change requests, no flexibility in adjusting deadline, extensive overtime work the two days preceding the forum start date
ii. Deliverables:
environmental design, 125-foot screen design, 15 PowerPoints presentations, meeting collateral, video, photography, event production, thematic development and insignia, recap stories on intranet and in SharePoint
b. Enterprise or business campaign
i.
Characteristics: multi-month planning, multi-capability, multiple reviews
ii. Deliverables: digital signage, PowerPoint presentation, intranet story, raytheon.com feature
c. Quick-turn
project to recognize 10 millionth U.S. patent issued to Raytheon
i. Characteristics:
pop-up request related to unexpected invitation to meet with President Trump at White House, one-week cycle time
ii. Deliverables:
15-second animated video and GIF, digital signage, intranet story, raytheon.com feature
2. TOM/COREY:
To what extent is Aquent open to locating its creative talent on site within Raytheon facilities?

3. ROBIN

When a project pulls resources from three hubs , how will project management occur? Will there be several project managers? And if so, how will their work be coordinated and funded? How will the approach impact the customer experience?
a. Concern:
Today creative talent on different capability teams work together. How will this collaboration occur in new studio setup?
b. For larger strategic campaigns,
how will Strategic Hub obtain resources from other hubs?

4. TOM:

With the three hubs in Waltham, we’re concerned about the commuting impact on existing employees who work in Billerica. The impact may result in an increase in severance.
5. COREY:

With Digital Design Hub in Waltham, will “retained” creative talent residing at a non-commuting distance from an Aquent studio be permitted to telecommute rather than work from another Aquent studio?

6. ROBIN:
What are responsibilities of resource manager? And to what extent are these responsibilities different from those of traffic manager?

7. ROBIN:

Aquent’s LT org chart includes “senior creative director.” Raytheon plans to retain creative direction. To what extent is there overlap between these roles?

8. COREY:

If Robohead doesn’t meet Raytheon’s requirements, is Aquent open to working with other work-flow technologies if Advantage isn’t preferred?

9. TOM:
Is there a premium charge for rush orders and/or overtime charges? If so, how is a “rush order” defined?

10. ROBIN:
What are the responsibilities of the security managers in Waltham and Tucson?
11. ROBIN:

What is the difference between an Aquent procurement manager and the expected Raytheon vendor management employee?

12. COREY:

Aquent should understand that Raytheon isn’t using DML as a complete file storage solution.

13. TOM:
What’s the process for generating estimates and costs incurred? TOM: What tool will be used to document and integrate time charges into Raytheon’s system?

14. TOM:
Transition: We need to address perceived conflict fo r date of joint announcement vs. dates of interviews with in-scope employees.
