  1. Hello. My name's Nancy Able.
  2. We're gonna go over consumption training today, processing the daily
  3. consumption reports and how to do that Insight manager.
  4. So let's get started.
  5. So today our objectives are to receive an overview of
  6. site manager.
  7. I'll show you what it does from a 30,000 ft
  8. view what it can dio.
  9. We'll learn the process for consuming inventory as well as
  10. how to access the daily consumption reports, Also known as
  11. D. C.
  12. R s.
  13. How to use the filters within site manager.
  14. We'll go over best practices for consuming inventory and how
  15. to assign projects to consumption as well as verifying consumption
  16. qualities. What you entered is what took place.
  17. So what?
  18. A site manager site manager is a cloud based perpetual
  19. inventory system, meaning that you can access it from anywhere
  20. you have a laptop and Internet connection.
  21. Even a cell phone or iPad will work, and by
  22. perpetual, it is real time.
  23. So once we consume inventory, inventory quantities will deducted that
  24. at that moment.
  25. So what can it do it?
  26. It handles inventory management.
  27. It is a customized system developed by me.
  28. Uh, been working on this for about seven years, It
  29. is always evolving, always improving and simplifying eso.
  30. Your feedback will always be appreciated.
  31. It handles invoicing, purchasing, inventory, shipping, receiving even returns for
  32. credit. So that being said, let's get started in this
  33. kind of exploring what inventory looks like.
  34. Insight manager.
  35. So this is your home page up above.
  36. We have what are called tables will focus in on
  37. the inventory table today.
  38. That's where you spend most of your time.
  39. So once you click on that table, you'll see a
  40. list of everything that's on hand and also what's expected
  41. to come in with the status of in transit.
  42. So here we have a listing of material.
  43. Um, we've got on the left side filters so you
  44. can filter out something.
  45. Maybe you don't want to see you on Lee.
  46. Want to see on hand product, for example, only want
  47. to see a lumber or engineer good.
  48. You can select them here, and when you search, you
  49. input a portion of the description and you'll get your
  50. results accordingly.
  51. When you open a record.
  52. Each inventory record has a serial number.
  53. This one is 37398 for example, and within it you
  54. have the details.
  55. So we know we have four by 12.
  56. 12. Number one for here and under transfer history will
  57. see all the deduction history that add up to what
  58. it is we've consumed to date.
  59. So without further ado, let's get into the training for
  60. consuming inventory.
  61. Okay, so we start with a daily consumption reports known
  62. as D.
  63. C. R s.
  64. This is what they look like.
  65. What they it contains everything you need to know about
  66. the inventory.
  67. They use this and they being stock pullers at I.
  68. C s facility.
  69. Use these documents to track daily usage of inventory.
  70. So you'll have multiple people at once with their clipboards
  71. and these documents in the hand, right?
  72. All of the information as they're pulling stock D.
  73. C. R s are turned into the office and scan
  74. to the server each day for processing.
  75. When you process Insight manager, that's when the on hand
  76. quantities are reduced.
  77. So how do we access thes daily consumption reports?
  78. You will receive a link at the end of this
  79. course. They are on a shared folder called it Night,
  80. and this is what it looks like.
  81. Reports are scanned within their respective dates.
  82. You can see here, we've got January 1 of 2021
  83. we have the fourth through the 12th.
  84. And let's see what that looks like once you open
  85. a folder.
  86. I just opened up December 12th.
  87. Here we have several pdf, See, each one is a
  88. D C.
  89. R. So each DCR does have a unique identify WR,
  90. and that comprises of the date it was consumed.
  91. So here we have 12.
  92. 31 2020 The initials of the Picker.
  93. That's in this case, Frank with an f l last
  94. name and looks like Frank had two records this day.
  95. Okay, so once you open the DCR, you'll see that
  96. they're all completed and they must be reviewed before operations
  97. management. So we shouldn't be missing in any information here.
  98. What is most important is the project allocation, of course,
  99. the grade of its fire treated.
  100. Or if it's glu lam.
  101. What is which?
  102. Blew lamb is a 24 et cetera.
  103. If it's PTE.
  104. Meaning it's cut, which length was a hut from?
  105. And what was it cut, too?
  106. The name of the stock, polar and, of course, the
  107. dimensions. And we need to know the unique identifying number
  108. as we discussed all D c R s.
  109. Like I said, we'll be reviewed for completeness by operations
  110. management before they're scanned in.
  111. So you shouldn't have any issues with missing information.
  112. So consuming inventory.
  113. Once you have your DCR, we're gonna go ahead and
  114. learn how toe upload into site manager for consumption.
  115. So we log into our home page, we'll click on
  116. consume inventory report from here, we're gonna pick the first
  117. line on your VCR.
  118. Here we have 25 16 by 11 and 7/8 by
  119. 48. Two pieces are FBI 40 a sign of button.
  120. So you're gonna note your first line, and then you're
  121. going to search for that material Insight Manager.
  122. What does that look like?
  123. So we're on the consumed inventory report.
  124. You can just type in for E W P.
  125. Just like this.
  126. 2516 11, 7848 no inches, no excess.
  127. This is the quickest way to search for W.
  128. P. Okay, you can also search by dimensions and this
  129. works really well for lumber and panels, and then you'll
  130. get a list of results accordingly.
  131. Okay, so once you've searched and you receive your results.
  132. Here we have some two by 4 12 K d.
  133. D dug for multiple records, as you can see with
  134. serial numbers on the left side.
  135. So which one we pick?
  136. So we want to pick a serial number that contains
  137. enough pieces on hand.
  138. If the D.
  139. C R contains 294 pieces, for example, let's pick a
  140. record that at least has 294 pieces.
  141. Now, if you need Thio, consume more than that, and
  142. one record has 294 pieces.
  143. But you need thio also consume, or you can deplete
  144. multiple records.
  145. You're just gonna deduct the quantity based on what you've
  146. already consumed.
  147. Okay, so additional best practices select the project if possible.
  148. Sometimes it's not noted on the DCR.
  149. So in my d.
  150. C R.
  151. For example, it's 5 75 betton that I need for
  152. this material.
  153. So I'm going to select this 50202 serial number and
  154. another best practice.
  155. If there are more than one record serial numbers, pick
  156. the oldest one.
  157. Well, im in general.
  158. It's a rule of thumb.
  159. So once you found a match again.
  160. Make sure you have enough pieces to cover consumption quantity.
  161. Because if you go over the amount will go into
  162. a new exception report.
  163. It'll be negative.
  164. It won't stop you from going over.
  165. So we want to be very, very, very careful about
  166. not exceeding quantities.
  167. Most pieces on hand.
  168. Okay, so we're gonna go ahead and enter in the
  169. 294 pieces to consume.
  170. So once you're ready, click the pencil.
  171. I'll show you where that is.
  172. Right here.
  173. It's very small.
  174. Next to the little blue box, this function is called
  175. grid Edit.
  176. What it does, it changes this report from view mode
  177. into a edit mode.
  178. You could do multiple records here.
  179. It once you can do just one turns into somewhat
  180. of a spreadsheet, if you will.
  181. Yeah. Okay, so here we are, in grid at it
  182. form, and I'm entering in my 294 pieces to be
  183. consumed on Syria.
  184. Number 50202 Yeah, Maria, Click safe.
  185. That's it.
  186. Almost so.
  187. No. 50202 will now deduct 294 pieces resulting in zero
  188. on hand pieces.
  189. We had to 94 pieces on hand.
  190. We're moving to 94.
  191. So let's take a look at what that just accomplished.
  192. Okay, So to view, just to verify that you've consumed
  193. the material, we're gonna go back home and we're going
  194. to click on.
  195. That's how to get back home.
  196. By the way, the home button.
  197. Okay, Under that same inventory reports listing, you're going to
  198. click on daily consumption report.
  199. Okay, I've opened the report.
  200. It's group by day.
  201. So we have the newest first, and you can see
  202. here what you've just done consumed from 50 to 02
  203. and then we created every time you consume site Manager
  204. will create a new serial number for what you just
  205. consumed. So it was consumed from 50 to 02 And
  206. now it is 51777 allocated to Betton into a storage
  207. location called Benton.
  208. Work in Progress Progress, also known as whip.
  209. Okay, so if you want to look at the detail
  210. just again just to check your your work, you can
  211. open the record by clicking on the consume from serial
  212. number link.
  213. So I'm gonna click on 5020 to here and Here's
  214. our inventory record all the information about it.
  215. We've got the description and then below the transfer history.
  216. We can see that on January 13th, we deducted 294
  217. pieces for the Benton project.
  218. So there you go.
  219. You just verify your work.
  220. So what happens if there are discrepancies?
  221. There's missing information.
  222. Maybe the project wasn't listed and it didn't get by
  223. operations management.
  224. Maybe we don't have enough available stock.
  225. Well, there's a section in the D.
  226. C. R for that.
  227. So here you can see the first line number one
  228. of the two by 41 16 and a quarter Katie.
  229. The three pieces were consumed, however, Insight Manager.
  230. On the right side, we only have two pieces, and
  231. this is where I'm going to list that issue.
  232. So if you run into something like this, we're going
  233. to go ahead and consumed the two pieces.
  234. Insight Manager.
  235. But from here, well know that there's one more piece
  236. that is an issue that will be reviewed by operations
  237. management. Once you scan this DCR back into this, the
  238. file server and he will review or assign someone to
  239. review the discrepancy.
  240. So some examples might be not enough quantity on hand.
  241. Maybe you're missing a project allocation.
  242. Maybe the grade is incorrect.
  243. The list k d.
  244. But you're pretty sure it's green.
  245. Maybe you can list anything in the additional notes section
  246. using pdf editor or any type of editing system that
  247. you can they have access to.
  248. We're just gonna go ahead and download the pdf market
  249. up and save it back into the file servers so
  250. that we have minimal back and forth via email.
  251. So how do we do that toe upload the file
  252. we're gonna when you save, you're gonna put it back
  253. into the respected date folder that you found the DCR.
  254. So here I'm in January 5th 2021 for example, Gonna
  255. click upload, and then I'll ask me to choose a
  256. file so I'll choose the file that I just marked
  257. up. And once you save the file, update the revision
  258. and keep the revision history, you can see here we've
  259. got to revisions.
  260. So once I si s operations management every day there
  261. will review these folders.
  262. They'll look at the revision history and the work that
  263. you processed and then perform any reviews or verifications of
  264. stock polls every day.
  265. All right, You just learned how to consume inventory.
  266. Let's go ahead and try it.
  267. We have some homework.
  268. Here is the link to the homework that we would
  269. like you to please process all the records in this
  270. file. So for January 14 2021 please open this link
  271. and process these records.
  272. I think we have 1234567 If you have any questions
  273. whatsoever, please email me Nancy at Barnet Forest.
  274. Calm. Uh, you should have received an invitation to site
  275. manager by now.
  276. It is a system generated email.
  277. So if you have not seen it in your email,
  278. check your junk folder or spam folder.
  279. I SI s operations management, once you're done, will review
  280. these documents starting next week.
  281. Early Monday on We'll meet.
  282. Well, I don't have the day yet, but we'll meet
  283. together and we can talk about any questions and issues
  284. provide feedback on the process.
