  1. Hello and welcome to flocks 2021, new programs year and
  2. we are excited to get you guys oriented on some
  3. things that have changed for the school year and some
  4. things that have remained the same.
  5. So I'm honored.
  6. I'm Germany Bradford.
  7. I am the director of programs here for love of
  8. Children and I'm gonna walk you through exactly what our
  9. programs are all about.
  10. So let's start with our team.
  11. We have Tanya Madonna who is our program specialist, you
  12. have Ashley Pengelly who's our programs manager and of course,
  13. myself again, Germany Bradford as the assistant director of programs
  14. just as before, these are the same email addresses that
  15. you can contact.
  16. Of course we have our recruitment and outreach team.
  17. They're found at rondo at flock dot org.
  18. And then of course that's for any changes about your
  19. schedule, the application process and all those good things and
  20. then any questions about the curriculum at home support as
  21. well as attendance and program policies or issues then you
  22. would use the NTP at flock dot org email address.
  23. So now let's give a little bit about what the
  24. neighborhood tutoring program is about.
  25. Our fall programs are approximately 12 weeks Language Arts and
  26. Reading and Math and we service grades 2nd through 12th.
  27. The goal is mastery of every concept and lessons skilled
  28. and knowledgeable staff and tutors are in place to accomplish
  29. that goal.
  30. We like individualized and personal learning and all of our
  31. curriculum is highly tested and proven through research and use
  32. reinforcement through fun games and activities is also a way
  33. to keep your Children engaged and focused on the matter
  34. at hand.
  35. So what to expect.
  36. So of course we're going to start with attendance and
  37. behavior so our flock programme and allow students to miss
  38. only three unexcused tutoring sessions.
  39. If a student misses a third time without excuse, they
  40. will be removed from the program.
  41. And this is not done as a punishment, but it
  42. is done because we respect your time, your child's time
  43. as well as the time of our volunteers.
  44. Everyone is putting together maximum effort in order to come
  45. to a common goal.
  46. And that is to increase the understanding the prowess and
  47. the aptitude of your child.
  48. So we need all parties to be in place and
  49. this policy is in place so that we can get
  50. total compliance in that area.
  51. We ask that you give us at least three hours
  52. advance notice.
  53. If your child cannot make it.
  54. But we asked for 24 hours, that is always best.
  55. So that we can make changes alert the tutors and
  56. possibly get a flex or a substitute tutor to be
  57. in place for your child when that tutoring time comes
  58. around, make sure that you have your child or student
  59. in a quiet space, make sure they have all of
  60. their tools that are needed to make sure that, you
  61. know, applications are downloaded and we'll get into blue jeans
  62. in a few minutes, make sure they have everything that
  63. they possibly need for that session so they don't have
  64. to get up and move around and be distracted by
  65. other things for other people that may be in the
  66. room, Students should respect the session by turning off all
  67. possible distractions.
  68. That's the television, that's a cell phone, that's the Nintendo
  69. any, any device that might or thing that might distract
  70. them from their tutoring session.
  71. So of course in your parent pack, you will have
  72. this particular graphic that goes over the steps that we
  73. would take if we're dealing with behavioral concerns with your
  74. student or your child.
  75. So I won't go through these verbatim, but these are
  76. the steps that we will take in order to ensure
  77. that we have the maximum effort in a great session
  78. each and every time for your students to be a
  79. part of and you'll certainly have an opportunity to ask
  80. myself or our team questions about this.
  81. But I do want to give you time to actually
  82. go through this through the parent pack and then you
  83. know, take it in and then ask any questions as
  84. we go along.
  85. So how it works.
  86. So here's a schedule for how it will actually look
  87. in the neighborhood tutoring program, whether you're in reading language
  88. arts or math.
  89. So we're asking this year, that maximum effort be put
  90. forth to log on by 5 30 and that time
  91. that gives us 20 minutes of 5 30 to 5
  92. 50 for students to actually log on.
  93. This is so attendance can be taken and parents can
  94. be made so that the sessions can start promptly at
  95. six o'clock promptly at six o'clock.
  96. So by 5 50 we will be making phone calls,
  97. making sure that that students are in place.
  98. The breakout rooms will open at that point.
  99. So everyone that is present and on time will begin
  100. their session at 5:56 pm.
  101. Once tutoring really officially begins, every student or tutor will
  102. be considered late.
  103. And as as far as our attendance policy is concerned
  104. if you have three tardies that equals one total absence.
  105. So remember three absences and unfortunately it's dismissal from the
  106. program. So those tardies can actually add up to equal
  107. and absence.
  108. So we ask that folks be diligent and plan your
  109. schedules accordingly.
  110. By six o'clock, the 6 40 will have the tutoring
  111. take place by 6 40 to 6 50.
  112. A break will take place where students and volunteers will
  113. have the option of joining us in the break room
  114. the main room.
  115. Excuse me for a group activity or you can stand
  116. your breakout rooms for one on one break time.
  117. Then by 6 50 we're right back in tutoring until
  118. 7 30 By 7.30.
  119. There is a second break.
  120. This one is shorter is a five minute break.
  121. You know, kids might need to use the bathroom.
  122. Volunteers might need to refresh to get something to drink
  123. or what have you.
  124. That is a 1-1 break, so no need to return
  125. to the main room.
  126. Then by 7:35, students will be shifting over to their
  127. social emotional learning activity or lessen the volunteers will get
  128. them started, but each student will have access to this
  129. platform. So it's kind of student led, even though the
  130. volunteer will be present to answer any questions to go
  131. through any discussion points.
  132. But for that time the student will have that virtual
  133. platform before them that they could actually walk through and
  134. do the activities on their own with short discussion at
  135. the end of that, during that time, the volunteer will
  136. be present, but they will be planning out.
  137. Uh, the ending of this lesson as well as the
  138. next lesson that they meet with your student.
  139. And then by eight p.m. There will be a dismissal.
  140. So yes, we want you to take in the fact
  141. that there is more tutoring time this year and that
  142. we will take your child up to eight p.m. So
  143. I know last school year we ended at 7 30.
  144. Your child will go to eight p.m. So it's vital
  145. that they begin on time and that you guys realize
  146. that they will go that extra half an hour not
  147. ending at 7 30 but going to eight p.m. Mm
  148. hmm. Here's a look at our schedule for the school
  149. year. And if there are any changes that take place,
  150. we will definitely communicate those with you.
  151. But this should stay pretty solid throughout the school year.
  152. So just take a moment.
  153. This will also be in your parent pack as an
  154. attachment. So you can look at this again.
  155. I would advise to cut it out, take a picture,
  156. You can start in your cell phone, even put it
  157. up on the great old refrigerator so that everybody knows
  158. exactly what the schedule looks like.
  159. So whether you're in our clips program which will begin
  160. at 5 30.
  161. For those of you that will be logging on there,
  162. it will start at 5 15.
  163. But then for our NTP program that starts at six
  164. p.m. Then of course we ask that everybody start logging
  165. on by 5 30 that's how this will look.
  166. The events of workshops you guys will know in advance
  167. and we set aside timing for that.
  168. And then of course Math and reading language arts also
  169. continues again for students on saturday.
  170. So anyone that prefers the weekend or saturday time, that
  171. option is available for you.
  172. Yes. So how you can help your student and support
  173. them at home, which also helps us as well.
  174. Is that make sure you maintain good study habits with
  175. your learner or your student, you know, talk to them
  176. about the session, make sure distractions aren't there, they have
  177. all of their supplies that they needed ready to go.
  178. Students have a laptop, fully charged or a tablet, fully
  179. charged or desktop computer.
  180. Of course that's plugged in, right.
  181. It won't come on unless it's plugged in that's old
  182. school. But of course cell phones are prohibited.
  183. Tutoring is not conducive or effective from a cell phone.
  184. And I want to advise you now that volunteers will
  185. be instructed to let us know anytime they suspect a
  186. student is on a cell phone and we will end
  187. that session at that time.
  188. We found that the last year and a half the
  189. cell phone.
  190. We we tried it, we allowed for it in certain
  191. cases, but it's just not effective for proper tutoring.
  192. So we want to make sure that kids are not
  193. in transit.
  194. I know that's how the cell phone was used most
  195. of the time.
  196. They must be in a stationary area ready to focus,
  197. no movement, no distractions.
  198. And the cell phone does not provide the full capability
  199. of our platform in order for the student to be
  200. successful in each and every session.
  201. So I just want to let you guys know now
  202. in advance that we will be ending the sessions if
  203. a student is on a cell phone and we can
  204. talk further about that individually.
  205. But that will be the policy for this year moving
  206. forward. We also want you guys to know that students
  207. will sometimes get an optional enrichment activity.
  208. Uh, depends on the volunteer and also what your child
  209. is working on.
  210. But a volunteer may give that activity for a student
  211. to work on to close any gaps to kind of
  212. keep the fun going in order to make sure the
  213. concept that they're working on sticks inside of their minds.
  214. Alright. Study with your students sometimes, you know, play your
  215. own math games with them.
  216. We certainly have resources that you can find in the
  217. parent pack and we'll definitely share additional resources throughout the
  218. school year.
  219. Don't be limited by our curriculum or the things that
  220. we actually use.
  221. But start exploring some things.
  222. And definitely if you guys find some things that are
  223. great for math and reading that we don't have, please
  224. please please share those things with us.
  225. So again, you will get your parent pack along with
  226. this video.
  227. So please take a look at that in its entirety
  228. is full of information and they will definitely answer many
  229. of your questions that you may have communicate with us.
  230. We love it.
  231. Don't think that, you know any time is to earlier.
  232. Too late.
  233. Of course if it is and we don't see it,
  234. then we'll address your concerns the very next day, but
  235. we certainly want to establish and keep and maintain a
  236. strong relationship with you guys that centered around communication.
  237. Okay, so we just want you guys to know that
  238. every single last one of us has been thoroughly background
  239. check from the executive director through myself all the way
  240. down to every single volunteer.
  241. Everyone goes through extensive background checks.
  242. So rest assured that the right people are in front
  243. of your Children, no hurt harm or danger will come
  244. of them because we do our due diligence in this
  245. area and we're always monitoring each one of our connections
  246. or parents to make sure that they're the right fit.
  247. Some of you who have been privy to this in
  248. the past, we've had to make changes in parents because
  249. maybe they weren't the right fit.
  250. This is not a 100% science.
  251. But what we do tell you is that when we
  252. notice that there are issues that we will make adjustments
  253. that's either on the student side or on the volunteer
  254. side. So rest assured that everyone is fully vetted that
  255. is in front of your child and when we get
  256. back in person, that peace of mind will be even
  257. more beneficial for you to know.
  258. Alright, so here we go.
  259. So we were on the zoom platform last year and
  260. for many great and key reasons we switched over to
  261. Verizon blue jeans for this year and it's because it
  262. gives us added security to make sure your Children are
  263. protected, nobody's jumping in that we don't know.
  264. We have more control.
  265. And then of course we'll have access to even recording
  266. the breakout rooms so that we can monitor everything that
  267. goes on there because should there be a concern then
  268. we will make sure that we're able to actually go
  269. back and look at what happened in each of the
  270. breakout rooms when the parents are taking place, because even
  271. though we are present and we go in and out,
  272. my staff and myself, we go in and out of
  273. the breakout rooms, there may be times where we're not
  274. present. That's the one of the greatest parts about blue
  275. jeans is that we will have access to any recordings
  276. so that we can go back and take a look
  277. and trust me, all of these things are secure.
  278. It's by Verizon, so you know, that's that stamp of
  279. approval that's on it there and it gives us a
  280. few more capabilities that were better than our good old
  281. zoom platform.
