00:02 - 00:03
the importance of time management.
00:04 - 00:08
Have you ever heard the saying use your time wisely?
00:08 - 00:11
Well that is exactly what time management is.
00:12 - 00:14
So first let me share a story.
00:15 - 00:16
It's room cleaning day.
00:17 - 00:19
I have stuff everywhere,
00:20 - 00:23
clothes, shoes, dirty dishes, you name it, it's in there.
00:25 - 00:27
Well I give myself two hours to clean my room.
00:29 - 00:30
It seems easy,
00:30 - 00:31
plenty of time.
00:32 - 00:34
Well I start hanging up clothes
00:34 - 00:36
and I see
00:37 - 00:40
a memory box that I have in my closet
00:41 - 00:42
and I take it down
00:43 - 00:46
thinking, oh I forgot everything I put in here,
00:46 - 00:50
there's notes from ex boyfriends from middle school,
00:50 - 00:54
there's game day tickets, there's cards.
00:55 - 01:00
I mean at least 100 things in this box I'm looking through. I'm thinking back and
01:02 - 01:07
just remembering all those moments and then I look at my phone and hours gone by.
01:08 - 01:09
I put the box up
01:09 - 01:11
Because I need to get back to doing this.
01:11 - 01:13
I gave myself two hours and there's an hour gone.
01:14 - 01:21
So I'm still picking up shoes, I'm about to vacuum and I see under my bed my old diary.
01:22 - 01:26
Oh man, I haven't looked at that thing or written in it and forever.
01:27 - 01:28
So I'm reading through
01:29 - 01:34
thinking, oh I remember when I wrote this, I was having such a bad day,
01:34 - 01:36
you know how it goes.
01:37 - 01:38
And I look at my
01:38 - 01:39
phone,
01:40 - 01:41
30 minutes have gone by.
01:43 - 01:48
So I put my diary back up and get back to cleaning, picking up the dishes,
01:48 - 01:53
cleaning the windows, making my bed and I see my UKulele over in the corner.
01:53 - 01:55
Oh, I haven't played that thing in forever.
01:56 - 01:57
So of course I had to tune it,
01:58 - 01:59
play a couple songs,
01:59 - 02:01
another 30 minutes had gone by
02:02 - 02:08
and what took me, what should have taken me two hours took me four or five hours.
02:08 - 02:11
And that is all because of poor time management.
02:12 - 02:13
So
02:15 - 02:18
what is time management exactly?
02:20 - 02:21
Time management
02:21 - 02:25
is the strategy of planning out your available time
02:25 - 02:29
and controlling the amount of time you spend on specific tasks.
02:31 - 02:35
This leads you to working smarter and not harder.
02:37 - 02:39
So just 10 to 12 minutes
02:40 - 02:43
invested in planning your day will save you at least
02:43 - 02:47
two hours of wasted time and effort throughout the day.
02:47 - 02:51
That's how big of a difference time management can make.
02:56 - 02:58
So why is this important?
03:05 - 03:12
20% of the average workday is spent on crucial and important things while 80%
03:12 - 03:17
of the average workday is spent on things that have little to note value.
03:19 - 03:22
I know you've seen those people that have
03:24 - 03:26
Done 1000 things in their day
03:27 - 03:28
and so I
03:28 - 03:30
why can't I get that much done?
03:32 - 03:34
It's because you're not planning out your day
03:34 - 03:38
and figuring out exactly what you need to do
03:39 - 03:41
instead of wasting time.
03:41 - 03:44
And then at the end of the day you're feeling unaccomplished
03:45 - 03:45
and
03:46 - 03:48
you didn't get as much done as what you wanted to.
03:52 - 03:53
So
03:53 - 03:54
how
03:55 - 03:57
do we time manage?
04:00 - 04:02
one is habit stacking.
04:03 - 04:06
So let's say I work out every morning at 6:00 PMclock
04:07 - 04:10
and then my fiance and I eat dinner
04:11 - 04:13
At 6:30 every evening.
04:14 - 04:17
Well I spent an hour and a half working out, getting back home
04:18 - 04:19
and then we spent an hour
04:20 - 04:20
eating dinner.
04:21 - 04:25
So those time slots out of my day are not for working,
04:26 - 04:27
those are
04:27 - 04:30
my time or family time.
04:32 - 04:34
So the time in between that,
04:35 - 04:36
so 7 30
04:37 - 04:40
26 30 that is your productivity time,
04:40 - 04:42
that is the time that you need to be spending
04:43 - 04:45
on getting work done
04:45 - 04:48
or cleaning or your list of things.
04:49 - 04:50
Another thing
04:50 - 04:52
is smaller goals.
04:54 - 04:56
For instance, if I wanted to
04:56 - 04:58
clean my whole house in a day,
04:59 - 05:01
well, I know how I am. I
05:02 - 05:05
like to organize and dust mop, sweep
05:05 - 05:06
and
05:07 - 05:13
realistically I know I cannot finish cleaning my house in one day. If I were to
05:13 - 05:18
subtract half my house and just clean the living room, kitchen and bathroom,
05:19 - 05:19
then yes,
05:19 - 05:25
I can go to bed at night thinking I got everything I wanted to do on my list done.
05:26 - 05:29
So just making smaller goals for yourself.
05:30 - 05:32
Another is reducing distractions.
05:33 - 05:35
I have a bad habit
05:36 - 05:37
of getting on Tiktok
05:39 - 05:39
and
05:41 - 05:44
Sometimes I don't even realize I'm doing it, but I have, you know,
05:44 - 05:48
a second before I'm about to unload the dishwasher and I
05:48 - 05:51
get on my phone and I'm on Tiktok for 30,
05:52 - 05:52
minutes.
05:54 - 05:56
Well that is very unproductive.
05:58 - 06:01
And even having the tv on in the background while I'm doing homework
06:01 - 06:03
or studying.
06:03 - 06:07
I catch myself looking at the TV for 10 to 15 minutes
06:08 - 06:11
instead of focusing on what I need to be done need to be doing.
06:13 - 06:13
And
06:14 - 06:16
lastly is taking breaks, breaks are important,
06:17 - 06:20
we get over stimulated and it makes us frustrated
06:21 - 06:22
and
06:23 - 06:27
Raises our anxiety levels. So taking healthy breaks is important.
06:27 - 06:32
Maybe you should go on a 10-15 minute walk or go outside and
06:33 - 06:38
hang out with your dogs or whatever you like to do in your free time,
06:38 - 06:40
but just small breaks,
06:40 - 06:45
nothing big because then you get distracted and an hour's gone out of your day.
06:48 - 06:51
So going along with reducing distractions,
06:54 - 06:57
a person who works with a messy or cluttered desk
06:57 - 06:58
on average
06:59 - 07:02
spends an hour and a half a day which
07:02 - 07:05
equals up to 7.5 hours per work week
07:06 - 07:08
looking for things or being distracted by things
07:11 - 07:12
that is
07:12 - 07:15
an hour and a half per day
07:15 - 07:17
that you could be spending on
07:18 - 07:19
checking off
07:20 - 07:21
tasks
07:21 - 07:23
that you needed to get done that day.
07:24 - 07:26
So that's just one example of
07:27 - 07:30
how this can impact your life.
07:34 - 07:36
So next we can go on to
07:36 - 07:37
benefits
07:38 - 07:39
what is in it for you
07:41 - 07:44
one, it can reduce stress
07:44 - 07:46
if you think about it,
07:46 - 07:48
you have a project due
07:49 - 07:49
on friday
07:51 - 07:53
instead of waiting till the last minute
07:54 - 07:58
and working hours on hours trying to get this project done right before it's due.
07:59 - 08:03
Playing it out to where you're doing just a little bit each and every day.
08:04 - 08:07
This allows for better quality of work
08:07 - 08:09
because you're focusing on one little section
08:09 - 08:14
each day instead of just focusing on getting it done in the end.
08:15 - 08:16
And lastly
08:16 - 08:19
it allows for more self care if
08:20 - 08:24
you wanted to go out with your friends on friday night, you won't
08:26 - 08:29
instead you won't be um stressing about
08:30 - 08:33
getting this project done, You've already worked on it
08:34 - 08:37
four out of the five days and so on friday,
08:37 - 08:40
you just need to spend a little bit time finishing everything up
08:41 - 08:44
and then you have all the free time friday night to
08:44 - 08:47
go out with your friends or spend the weekend not worrying
08:48 - 08:51
about how you just rush through that project and what
08:51 - 08:54
grade or feedback you're going to get back on it.
08:59 - 09:02
So overall, if I would have went back
09:03 - 09:05
on my cleaning day,
09:06 - 09:08
two hours was a great time,
09:08 - 09:11
A great amount of time that I could have got my task done.
09:12 - 09:13
But
09:14 - 09:17
one, I didn't plan it out, I should have said,
09:18 - 09:21
Okay, I'm going to spend 30 minutes on
09:21 - 09:22
picking up my clothes
09:23 - 09:25
And then I'm going to spend 10 minutes vacuuming
09:26 - 09:27
five minutes making my bed,
09:29 - 09:31
You know 5-10 minutes dusting.
09:31 - 09:35
If I would have done that and actually stuck to it, I would have gotten done at
09:37 - 09:38
two hours,
09:39 - 09:40
but because I got distracted
09:41 - 09:44
and I didn't plan it out,
09:45 - 09:51
I spent five hours instead of two and I could have lost my own free time self care time
09:52 - 09:53
because of that.
09:55 - 09:58
So the next time that you have a big thing done,
09:58 - 10:01
or even small things like cleaning your house, playing them out
10:03 - 10:05
and reduce the distractions
10:07 - 10:08
and maybe even make smaller goals
10:09 - 10:10
so that
10:11 - 10:14
you are less stressed,
10:14 - 10:19
have less anxiety and you feel more accomplished at the end of the day.
10:25 - 10:25
Thank you.
