Forming

Gathering

Attempts were made to gather volunteers through:

- putting announcement in Elementary newsletter

- Presentation in front of I Count, UCEP and Discovery

Best method was approaching people in person or texting/ instant messaging

Volunteer Results

Results

Huge thank you to the volunteers that helped:

  • Connie Dennis went above and beyond as the Easter bunny and handing out candy
  • Martina Namox helped with serving and making hotdogs
  • Delia Wilson and Helen Harris were last minute volunteers and face painted during the whole event.
  • Henry Mitchell was pivotal to the success of this event. He organized the games for the youth and adults. Spoke loudly for the draws. Plus did some last minute running errands
  • Barry Nikal and Brandon Mouck also helped with the set up

and take down of the event.

  • Lucy Gagnon and Angie Gagnon baked

cupcakes. Lucy also assisted with

ensuring that the facilities were

available and working.

The Class

The Class

The class ended up doing majority of the setting up and take down of the event. The class stepped up in anyway possible to ensure this event ran smoothly

Loralee attended to the food and snacks table and serve/made the hotdogs

Chevy and Ashley Volunteered for handing out candy bags, prizes and tickets

Rebecca brought canopies, food donations and ran the cupcake event and the Easter Egg Hunt

Corrina was our photographer and hid all the eggs

Caryssa assisted with games and keeping events on track

and also baked cupcakes

Challenges

  • Difficult to gather parent volunteers
  • Some that did sign up did not follow through
  • Lack of direction and communication

Recommendations

Challenges

  • Ask the school to hold parent meeting to address issues with lack of parent involvement
  • Confirm and remind volunteers day before event
  • Promote incentives that will be given to those who volunteer

Room for Improvements

Room for Improvement

- separate egg hunts for different age group

- organize a scavenger hunt style for preteens and teenagers

Before Good Friday:

- get speaker phone,

- confirm with Maintenance to unlock bathrooms

- Set a exact time for Easter Egg Hunt and include in the promotion

- We overestimate the attendance. Next time plan for:

- 100 candy bags (instead of 140)

- 240 hotdogs (instead of 300)

The Fine Details

The Fine Details

- more ribbon/rope to block off restricted areas

- better face painting materials need to be ordered 3 weeks ahead of time

- Different color tickets (one for draws, one for prizes)

- signs for games
