This chapter presents the background, objectives, significance, scope and delimitation of the study.
Background of the Study
The Enrollment process has always been a continuous activity in every school. It has an attempt to build a basic repository for collecting, storing, and reporting authorized data of all enrolled students. Given that technology is rapidly advancing, almost everything can be automated even the handling of an enrollment process.
The researchers developed and designed a computerized enrollment system for the school which will help the institution to efficiently control and monitor all enrollment transaction using a versatile application of computer technology.Computers are not only capable of carrying out calculations or at interpreting instructions but are highly needed in data processing. Citing for instance, manual record keeping, processing, retrieving and publishing information of enrollment process and other reports in a school involves a hectic task routine, which may render inefficient and inconsistent records. In addition, there is a high risk of loss of records and delayed transaction and data retrieval. These worries of students and faculty members assigned during enrollment will surely be eliminated once they adapt the computerized enrollment system.
Odiongan National High School (ONHS) is the only school here in Odiongan with a big population. But as the population of the students increase, this school faces difficulties in handling their enrollment using the manual process. And one of the solutions of this problem is to make their manual enrollment computerized.
STATEMENT OF THE PROBLEM
1. What are the problems encountered by Odiongan National High School in using their present enrollment system?
3. What are the transactions must be automated in the ONHS enrollment?
2. What are the solutions made by the administration of the ONHS to solve the problems encountered?
4. What are the security measures must needed to be implemented in the proposed ONHS Enrollment System?
The main objective of the study is to develop an Enrollment System for Odiongan National High School that will help make the enrollment process easier, efficient and convenient for both students and school administrators.
Specifically it aims to:
1. Develop a system that would handle student’s profile, payment and record student’s grade.
2. Update subjects at every year level, student list, and student status.
3. Hold data and information about the teachers, and school.
SIGNIFICANCE OF THE STUDY
The improvement of the enrollment process for ONHS will help both parties (school administrator and student) to have a swift and easy enrollment process. With information technology, it will provide a transparent and rapid sum up of the payment that was calculated during enrollment. Accuracy and security of student records is a vital role in developing the system.
It also offers a structured graphical user interface that the enrollers can easily use.
The school will benefit from this study by means of further enhancement of the modified enrollment process and by checking the system used by the researchers.
In addition, if the developed enrollment system will be effective, it could be a basis for innovation of the enrollment process not only in Odiongan National High School but in the entire secondary schools sector here in the province.
It will also benefit future researchers who would like to conduct similar studies in the future by means of reviewing the developed system.

The conceptual model of the study is shown in the form of a paradigm in the figure above. It utilizes the input, process and output model (IPO). The INPUT of the study consists of alternative ideas from related literature and studies, interview results, book, technical data guide, software needed, and cost of transportation. The PROCESS covers the different processes involved in the development of the software namely: designing, coding, and software testing. The OUTPUT is the Odiongan National High School Enrollment System.
SCOPE AND DELIMITATION
The study will be limited only to the boundaries of Computerized Enrollment and Permanent Record Keeping of Odiongan National High School. The system will able to print receipt of payment, class list, summary of grades, and student registration form. It has the ability to save, record, and edit those data and information about the students, teachers, and school. This enrollment system includes student registration class list, principal’s report of total enrollment of students and receipt. The systems also have a chat box that can communicate with other connected computers. This system can connect to other user by the help of networking.
However, the system is limited when it comes with entering student grade every grading period. This system don’t handle medical record of a student.

This was conducted during the second semester of 2013 – 2014 at Romblon State University, Odiongan Romblon
REVIEW OF RELATED LITERATURE
This chapter presents the different literature and studies that are related and relevant to this research.
According to Matthew Townsley (2006), “The implementation of the successful enrollment management program requires cooperation, coordination and teamwork among various campus constituencies”. Cooperation, coordination and teamwork among the proponents in making the Enrollment System play a very important role in the project. Thus resulting more productivity and better output.
Enrollment System is very essential in a school. In the case of Nyogani School Inc. It is composed of a manual system. Directress used manual system in recording and retrieving student information. It also has information about student payment. In fact, she does all record keeping just by using ball pen and columnar sheet. On the other hand, Registrar Department also used manual system, as a way of recording and retrieving student information. Another department is Accounting Office administers student payment manually. Above our observation, human interventions will highly involve in this type of system. As a result, this may involve errors and redundancy of data resulting troubles in organizations.
Ace Adrian Sandoval National High School Enrollment System , enrollment System is useful especially chosen the school retrieves the important information from the student. The school can trace what is the standing of the students. Lack of Enrollment System in a school can lead to chaos and troubles. Students will be confused on what they should do to be able to enroll. It is extremely useful in the school in the way of working processes of enrolling become much easy.
Far Eastern University Enrollment System With its 25,000 students, Far Eastern University (FEU) ranks among the biggest universities in the country in terms of population. And with a large population comes multiple problems in enrollment, student records and related data. Wanting a lasting solution to the problem, FEU asked consultants for recommendations.
John Mark Bunao (Febuary 2013) in his study entitled “Computerized Enrollment System” in Moonwalk National High School; he stated that Enrollment System is a good example of a computer generated process. This can lessen the workload and provides accurate information needed of the school. As a result, it will benefit not only the student but the administration as a whole. Moonwalk National High School located at St. Mary Street cor. Daang Batang Street, San Agustin Village, Barangay Moonwalk, Paranaque City, Philippines. Classes are generally large, averaging greater than 2000 students. The faculty works on such fascinating topics as virtual reality, parallel computing, embedded applications, Internet technologies and multimedia. They have own Enrollment System that can provide information to the students.
According to Xavier, University Ateneo de Cagayan (2005). Their enrollment registration features manages enrollment or assigning of subjects to be taken by student. Subject pre-requisite validation. Time room conflict validation. Block enrollment facility classroom capacity validation and check students with in paid accounts from previous semester.
Bulao et. Al (2006) in their feasibility study entitled “A Proposed Computerized Enrollment System for Pamantasan ng Lungsod ng Valenzuela”, the case study stated that the school’s enrollment process are time consuming, redundant student records, and has a slow retrieval of student records. Similar with the stated problem of manual enrollment system at Canumay National High School the only difference is that Pamantasn ng Lungsod ng Valenzuela (PLV) requires payment for the tuition fee. Both of the study aim to develop a system that will reduce the redundancy of students information, reduce the consumed time in enrollment process, and a fast retrieval of students records.
DEFINITION OF TERMS
For the purpose of the study and in order to make clear to those who may come across to read it, the researchers defined the following terms.
System – a set of interacting or interdependent entities forming an integrated whole.
Database – an electronic file cabinet that stores the information, grades and billing of student.
Server – an adjective in the term server operating system. A server operating system is intended, enabled, or better able to run server applications.
Programmer – software developer, someone who writes computer software.
Log History – List of users who used the system.
Router – a computer networking device which uses to connect one computer to another.
Chat – sending messages using a computer device to communicate.
Web cam - a video camera that feeds its image in real time to a computer or computer network.
This chapter covers various procedures that will be accomplished in order to realize the goals and objectives of the study. The methods presented herein have guided the researchers in the development of Odiongan National High School Enrollment System.
The researchers gathered data by conducting an interview with the school principal and other faculty members. Researchers browsed also the internet for related literature and studies.
To achieve the objectives of this study, the researchers used Sashimi Waterfall Model for system development. The classic Waterfall Model offers many disadvantages, so this modified version of Waterfall Model is fitted. The stages are: Requirements, Design and Architecture, Development and Coding, Quality Assurance and Software Testing, Implementation, and Maintenance and Support.
Stage 1. Requirements
The researchers browsed theses as guide and conducted online studies regarding the system. They also conducted brainstorming about the system in terms of design, functionality, and over-all output.
Stage 2. Design and Architecture
The researchers studied some existing automated enrollment system for the basic interface of the system.
Stage 3. Development and Coding
The development was done in Microsoft Visual Basic 6.0 programming language. The sketch of user interface was designed in a well-presented manner. The codes were written and assigned to objects.
The problems have been solved with the help of shared codes from the internet.
Stage 4. Quality Assurance and System Testing
Initial testing was conducted while the systems undergo development process. .Each member of the team tested the different functionalities and looked for possible errors.
Stage 5. Implementation
The system was installed in other computer units. ActiveX controls were also registered.
Stage 6. Maintenance and Support
The researchers maintained the system using virus-free computer. Update can easily performed using Microsoft Visual Basic 6.0 and Microsoft Access 2010.

RESULTS AND DISCUSSIONS
This chapter presents the result and discussions of the evaluation of the system.
The Odiongan National High School Enrollment System is useful for school administrator and students. The system is efficient and convenient for both students and administrators. It is used particularly in recording and retrieving student information.
The system was evaluated using the following scale:
5-Excellent 2- Fair
4-Very Good 1-Poor
Table 2 shows the system usability. Whether the system is helpful and user friendly, 100% or 20 out of 20 respondent’s rated Excellent. Whether the system is informative, 100% or 20 out of 20 answered Excellent. Whether the system is flexible, 100% or 20 out of 20 respondent’s answered Excellent.

Table 1 shows how the respondents rated the system’s functionality, whether the system is capable of performing task intended to accomplish, 90% or 18 out of 20 respondents rated Excellent while 10% or 2 out of 20 respondents answered Very Good.
Table 3 shows the system efficiency. Whether the system performs fast 75% or 15 out of 20 respondents rated Excellent while 25% or 5 out of 20 respondents answered Very Good. Whether the system complete tasks in given time, 100% or 20 out of 20 respondents answered Excellent.
Table 4 shows the system reliability. Whether the system can provide accurate instructions, 95% or 19 out of 20 respondents answered Excellent while 5% or 1 out of 20 respondents ticked Very Good. Whether the system produces reliable output, 95% or 19 out of 20 respondents answered Excellent while 5% or 1 out of 20 respondents rated Very Good.
Odiongan National High School Enrollment Enrollment System is an alternative way to perform a complex and tedious work in a very effective manner. It was developed to help the student and school administrators to embrace an innovative enrollment system that could provide a fast and accurate process of enrollment.
Odiongan National High School Enrollment Enrollment System is a useful application that contains rules for valid enrolling that aggregated to yield a final result.
The system will help the school administrator to make the enrollment process a stress-free. It stores, retrieve, and clever of processing information.
SUMMARY, CONCLUSIONS AND RECOMMENDATIONS
Based on the conducted result, 100% of the respondents rated excellent that the system is capable of performing tasks intended to accomplish. On the usability of the system, majority of the respondents answered excellent, on whether the system is useful and user friendly. 100% of the respondent’s answered excellent on whether the system is informative; and 100% also in the flexibility. Regarding Efficiency, 95% of the respondents answered excellent, the system performs fast. Majority of the respondents answered excellent, the system complete tasks in short time. In relation to reliability, majority of the respondents strongly approved that the system provides accurate instructions and produces reliable output.
Based on the results of the researchers conclude that the system is very helpful and useful to Odiongan National High School.
Based on the results of the findings and conclusions gathered, the researchers would like to recommend the following:
1. The proposed enrollment system will be a big improvement to the institution of Odiongan National High School as their populations continue to grow.
2. For future researchers to continue to improve the system.
